VA Medical Evidence Consultant

Xterra Health•Salem, OH
•$65,000 - $80,000•Remote

About The Position

The VA Medical Evidence Consultant is a veteran-facing role in Xterra Health's Veteran Medical Consulting Arm. The consultant helps veterans understand the strength of their medical evidence and develop an educational strategy roadmap to support a VA disability claim. The work calls for familiarity with VA disability rating criteria, including the 38 CFR Part 4 rating schedule (VASRD), C&P examination standards, DBQ requirements, and direct, secondary, presumptive, and aggravation service-connection theories. The role's scope depends on the consultant's background. Consultants entering at a foundational level may handle scheduling, structured intake, and CRM documentation while developing toward a full caseload under direct mentorship. More experienced consultants may begin with independent case analysis, written strategy roadmaps, and medical evidence review. A combination of VA claims expertise and a licensed medical or clinical background is especially suited to the full scope of the position. Xterra Health is a medical evidence and consulting organization, not a law firm, VSO, or VA-accredited claims agent practice. Consultants evaluate medical evidence and educate veterans about the rating system; they do not file claims, submit forms to VA, represent veterans, act as power of attorney, or guarantee claim outcomes. Strategy roadmaps and evidence recommendations are educational, and veterans may pursue claims independently or through a representative of their choice. The position is full-time, exempt, W-2, and remote. Consultants entering at the foundation tier must be willing to work in-office in Salem during the initial ramp phase. Placement within the pay band, incentive structure, and responsibility scope is set by the Director of Medical Consulting and HR based on demonstrated experience and credentials. Salary figures are provided during the offer process.

Requirements

  • Demonstrated operational excellence in a high-volume, client-facing environment; internal promotes from the Veteran Care Center in good standing are identified as a strong entry pathway.
  • A genuine connection to the military community, such as being a veteran, military spouse, Gold Star family member, or having direct personal experience navigating the VA disability claims process.
  • Strong interpersonal and communication skills, including the ability to make complex rating criteria and medical concepts manageable for a non-expert audience.
  • Willingness to work in-office in Salem during the initial ramp phase for consultants entering at the foundation tier.
  • Comfort working in a structured, productivity-driven environment with clear weekly targets.

Nice To Haves

  • Working knowledge of 38 CFR Parts 3 and 4, the VASRD, and C&P examination standards.
  • Current or former VA accreditation as a Claims Agent, or prior VSO Representative experience.
  • At least 3 years of hands-on experience with VA disability claims, rating decisions, and appeals pathways, including Higher-Level Review, Supplemental Claim, and Board of Veterans' Appeals activity.
  • A licensed medical or clinical credential, such as experience as a military medic, corpsman, EMT, or similar background.
  • Combined VA claims expertise and a clinical credential, which is described as especially well suited to full-spectrum scope and top-of-band pay.
  • Familiarity with presumptive condition frameworks, including the PACT Act, Agent Orange, Gulf War, and burn pit exposure, and with secondary service connection theory.
  • Military service or an immediate family connection to the veteran community.
  • Experience with VBMS, GHL, Monday.com, Acuity, or similar CRM and scheduling platforms.

Responsibilities

  • Manage the consultation calendar, including scheduling inbound calls, walk-ins, and referrals from the Veteran Care Center and providers.
  • Conduct structured intake covering the veteran's current combined VA rating, service history, prior claims and appeals activity, and primary concerns.
  • Pre-populate CRM case records and confirm appointments so consultations begin with relevant context.
  • Review VA ratings histories, rating decisions, denial letters, service treatment records, and available medical evidence.
  • Assess conditions for potential service connection under direct, secondary, presumptive, and aggravation theories.
  • Identify evidence gaps, including missing nexus letters, undertreated conditions, inadequate or outdated DBQs, and insufficient lay or buddy statements.
  • Prepare clear written strategy roadmaps explaining what evidence to pursue, in what order, and why.
  • Explain VASRD rating criteria, combined ratings calculations, TDIU, and SMC in plain language.
  • For consultants with a licensed medical or clinical credential, evaluate medical documentation, DBQ content, and C&P exam findings for clinical adequacy alongside claims strategy.
  • Identify clinical evidence concerns such as undertreated conditions, inconsistent findings, exam quality issues, or documentation that may not meet current 38 CFR standards.
  • At senior scope, handle escalated cases requiring advanced regulatory analysis or particular veteran sensitivity.
  • Conduct random quality reviews of case documentation as directed and report recurring quality issues with recommended interventions.
  • Contribute to onboarding and coaching consultants who are developing toward full scope.
  • Recommend the VA Evidence Roadmap and identify nexus-ready veterans for warm handoffs to the Provider Relations team.
  • Thoroughly document consultations in the CRM, including summaries, strategies, recommended actions, and follow-up triggers.
