About The Position

Miami Valley Community Action Partnership (MVCAP) is seeking a full-time Utility Assistance Administrative Specialist to support our Utility Assistance and PIPP+ programs. This position serves as the first point of contact for clients, providing front desk support, appointment scheduling, customer service, and administrative assistance to help individuals and families access critical energy assistance services.

Requirements

  • At least two years of administrative, customer service, reception, or office support experience.
  • Strong customer service and communication skills.
  • Proficiency with Microsoft Office and general computer applications.
  • Ability to multitask, stay organized, and maintain confidentiality.
  • Experience working with diverse populations and handling sensitive situations professionally.

Responsibilities

  • Welcome and assist clients in person and by phone.
  • Schedule and manage client appointments.
  • Collect, scan, and process client documentation.
  • Provide information regarding Utility Assistance, PIPP+, and related programs.
  • Resolve client questions and escalate concerns when appropriate.
  • Order office supplies and complete departmental purchase requests.
  • Maintain accurate records while ensuring confidentiality.
  • Refer clients to community resources and agency programs.
  • Support outreach events and program operations as needed.
