About The Position

RecruitGo is seeking a US Bookkeeper responsible for managing day-to-day bookkeeping tasks, including recording transactions, processing invoices, and performing account reconciliations using QuickBooks Online. The role also involves preparing accurate financial reports and ensuring all records are maintained in a timely and organized manner. This role does not involve supervising others but requires collaboration with Staff II and Senior Bookkeepers to ensure accuracy and consistency in work. Regularly communicates with internal team members (e.g., Senior Bookkeeper, Junior Manager) and occasionally with clients via email or phone to clarify transaction details. Uses a professional and courteous communication tone, responding to emails within one business day and phone call follow-ups within one business day. Handles sensitive client financial information, including bank account details, transaction records, and tax related documents, requiring strict confidentiality. Must meet monthly deadlines for client deliverables (e.g., bookkeeping reports by the 15th) and tax return deadlines during peak season to avoid delays in client financial reporting. Errors in data entry, reconciliation, or tax return preparation could lead to inaccurate financial reporting or tax filings, potentially impacting client compliance, and must be minimized through diligent work and verification processes. Adheres to Generally Accepted Accounting Principles (GAAP), IRS regulations for financial record-keeping and tax preparation, and California state regulations for data privacy and financial reporting. Proactively identifies discrepancies in account reconciliations and tax return data, using independent judgment to propose solutions and escalating issues to supervisors when necessary. Accountability is tracked through monthly performance reviews, where accuracy rates, timeliness of deliverables, and tax return preparation quality are assessed by the Senior Bookkeeper or Junior Manager.

Requirements

  • Bachelor’s degree in accounting, finance, mathematics, or a related field is required.
  • At least 3 years of US bookkeeping or accounting experience preferred, with familiarity in QuickBooks Online or similar software.
  • Experience with business tax return preparation is a plus.
  • Strong attention to detail, time management, organizational skills, and the ability to exercise independent judgment are critical.
  • Basic communication skills are needed for client and team interactions.
  • Good communication skills, good English, good project management (meet the deadline)

  • QuickBooks certification is a plus.

Responsibilities

  • Record Financial Transactions: Enter and categorize financial transactions, including income, expenses, and journal entries, for 30 to 40 client accounts monthly using QuickBooks Online, applying independent judgment to ensure proper classification.
  • Account Reconciliation: Reconcile bank and credit card statements to ensure accuracy and resolve discrepancies within 5 business days of receiving statements, using independent judgment to identify and correct errors.
  • Generate Bookkeeping Reports: Produce monthly balance sheets, income statements, general ledgers, and reconciliation reports directly from QuickBooks Online for assigned clients, ensuring delivery by the 15th of each month.
  • Data Entry and Verification: Input financial data into QuickBooks Online and verify accuracy to prevent errors that could affect client financial reporting, exercising independent judgment to validate data integrity.
  • Support Document Organization: Organize and maintain digital client records, ensuring all supporting documentation (e.g., receipts, invoices) is properly filed and accessible for audits.
  • Tax Return Preparation: will be done in the second of year
  • Respond to Basic Client Inquiries: Address straightforward client questions regarding transaction records or account balances, escalating complex inquiries to Staff II or Senior Bookkeepers within one business day.
  • Coordinate with Senior Staff: Provide accurate data and reports to senior team members to support client meetings and ensure timely communication with clients.
