The Unit Secretary plays a vital role in supporting all members of the healthcare team by coordinating essential administrative and clerical functions. As a key contributor to the smooth delivery of patient care, the Unit Secretary effectively manages communication across multiple channels, facilitates patient movement—including admissions, transfers, and discharges—and maintains accurate paper and electronic medical records (EMR). Serving as a liaison among all members of the healthcare team, including patients and members of their support systems, the Unit Secretary ensures timely, respectful, and professional communication in person, electronically, and by phone. The Unit Secretary facilitates continuity of care through paper and EMR navigation, scheduling appointments, preparing forms and documentation, ordering supplies, managing mail, and supporting overall unit organization and workflow. In alignment with High Reliability Organization (HRO) principles, the Unit Secretary demonstrates mindfulness, attention to detail, and a commitment to safety and reliability in all tasks. The Unit Secretary performs within the defined scope of the role and carries out non-clinical duties delegated by the Registered Staff Nurse, supporting the care team with a strong commitment to delivering compassionate, patient-centered care. This individual must display professionalism, empathy, and strong interpersonal skills, particularly during periods of high activity or stress. The ability to remain calm, organized, and respectful in a fast-paced environment is essential. As one of the first points of contact on the unit, the Unit Secretary upholds a high standard of customer service, confidentiality, and teamwork. While this role has limited clinical responsibilities, it requires close collaboration with the interdisciplinary clinical care team and functions under the direct supervision.
