About The Position

The Unit Secretary in Surgical Day Care is responsible for managing patient information, scheduling, and communication within the unit. This role involves interviewing patients to complete registration, providing necessary information and forms, maintaining appointment schedules, and ensuring accurate patient records. The Unit Secretary also manages supplies, handles communications via phone and in person, coordinates with nursing staff and ancillary departments, and schedules pre-admission testing. They initiate patient admissions, coordinate transport, and handle copying, scanning, and faxing of materials. Adherence to safety policies, proficiency in healthcare informatics systems, and maintaining patient confidentiality are crucial. The role also emphasizes service excellence and performing other assigned duties.

Requirements

  • Ability to read, write, and communicate in English.
  • Demonstrated knowledge of healthcare informatics systems.
  • Successful passage of medical terminology course, or successfully pass medical terminology challenge exam.

  • Medical Secretary/Medical Receptionist experience preferred.

Responsibilities

  • Interviews patient and/or patient representative to obtain required information necessary to complete the registration process in the hospital information system and maintains the accuracy, confidentiality, and integrity of the automated database.
  • Provide information to patient and/or representative, including but not limited to: Health Care Proxy, Advanced Beneficiary Notice, Important Medicare Message (IMM) forms, financial issues and refers to Financial Counselor if appropriate. Obtain completed forms as available.
  • Maintains providers daily appointment schedules including scheduling and rescheduling patient appointments, processing cancellations and no-show appointments.
  • Maintains accurate, complete and up-to-date patient records. Obtains old records, reports, results, dictation, transcription, etc., as instructed.
  • Maintains adequate quantity of forms, materials and supplies on assigned unit.
  • Responds in a professional and courteous manner in all telephone and verbal communications with internal and external customers.
  • Answers phones, relays phone calls and/or messages, calls ancillary departments, private physicians, and other healthcare facilities, etc.
  • Provides timely communications with nursing staff.
  • Schedules appointments for pre-admission testing services within Perioperative Services, collaboratively utilizing the schedule and available appointment times.
  • Initiates admission and registration of all Perioperative Services patients.
  • Coordinates patient transport resources by established Perioperative Services, CCH and regulatory agency policies, procedures, standards, and recommendations or as requested by authorized physicians, management or nurses.
  • Copies, scans, and faxes materials. Obtains, correlates and processes medical records and reports as required by established Perioperative Services, CCH and regulatory agency policies, or as requested by authorized physicians, management, or nurses.
  • Adheres to safety, blood/body fluid policies and procedures.
  • Demonstrates proficiency and accuracy in the use of healthcare informatic systems.
  • Represents hospital in the community and within the hospital by maintaining confidentiality regarding patients.
  • Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers.
  • Performs other work-related duties and activities as assigned or requested.
