About The Position

The Unit Secretary in Surgical Day Care is responsible for a variety of administrative and clerical duties to ensure the smooth operation of the unit. This includes patient registration, appointment scheduling, maintaining patient records, managing supplies, and communicating effectively with patients, staff, and other departments. The role requires proficiency in healthcare informatics systems and adherence to safety and confidentiality policies.

Requirements

  • Ability to read, write, and communicate in English.
  • Demonstrated knowledge of healthcare informatics systems.
  • Successful passage of medical terminology course, or successfully pass medical terminology challenge exam.

Nice To Haves

  • Medical Secretary/Medical Receptionist experience preferred.

Responsibilities

  • Interview patients and/or representatives to obtain necessary information for registration in the hospital information system, ensuring accuracy, confidentiality, and integrity of the database.
  • Provide patients and/or representatives with information regarding Health Care Proxy, Advanced Beneficiary Notice, Important Medicare Message (IMM) forms, and financial issues, referring to a Financial Counselor when appropriate. Obtain completed forms.
  • Maintain providers' daily appointment schedules, including scheduling, rescheduling, processing cancellations, and managing no-show appointments.
  • Maintain accurate, complete, and up-to-date patient records, obtaining old records, reports, results, dictation, and transcription as instructed.
  • Maintain an adequate quantity of forms, materials, and supplies on the assigned unit.
  • Respond professionally and courteously in all telephone and verbal communications with internal and external customers.
  • Answer phones, relay calls and/or messages, contact ancillary departments, private physicians, and other healthcare facilities.
  • Provide timely communications with nursing staff.
  • Schedule appointments for pre-admission testing services within Perioperative Services, utilizing the schedule and available appointment times.
  • Initiate admission and registration for all Perioperative Services patients.
  • Coordinate patient transport resources according to established Perioperative Services, CCH, and regulatory agency policies, procedures, standards, and recommendations, or as requested by authorized physicians, management, or nurses.
  • Copy, scan, and fax materials. Obtain, correlate, and process medical records and reports as required by established Perioperative Services, CCH, and regulatory agency policies, or as requested by authorized physicians, management, or nurses.
  • Adhere to safety, blood/body fluid policies, and procedures.
  • Demonstrate proficiency and accuracy in the use of healthcare informatics systems.
  • Represent the hospital in the community and within the hospital by maintaining confidentiality regarding patients.
  • Consistently provide service excellence to all patients, family members, visitors, volunteers, and co-workers.
  • Perform other work-related duties and activities as assigned or requested.
