About The Position

Assist nursing staff in clerical duties. Perform a variety of clerical duties to assist with the processing of medical records. This position reports directly to the Health Information Manager and is non-exempt from overtime.

Requirements

  • High school diploma or equivalent
  • Must be able to type and file accurately, numerically as well as alphabetically.
  • Possess current or ability to obtain a Level 1 Fingerprint Clearance Card is required

Responsibilities

  • Responsible for accurately filing loose reports on Resident charts (telephone orders, medication/treatment sheets).
  • Forwards telephone orders to the Receptionist for mailing.
  • Prepares the medical record for nursing when Residents are admitted (chart to be correct color when the Resident is transferred within the facility).
  • Assists with medical record audits as requested.
  • Answers the telephone, take, and relay messages and comply with requests according to established policies and procedures.
  • Maintain confidentiality of patient information.
  • Make medical and therapy appointments for residents.
  • Notify family, residents, and appropriate care givers of appointments for residents.
  • Arrange companions for residents that require them for medical appointments.
  • Maintains the physician and Provider Pharmacy FAX order program.
  • Provide coverage of the front office when needed.
  • Give tours of the facility to prospective residents.
  • Provide information to prospective residents, explaining services and room availability.
  • Responsible for nursing office supplies and forms inventory.
  • Prepare lab slips, as necessary.
  • Assist the nursing department with the copying of forms and other paperwork.
  • Telephone the courier for pick-up.
  • Schedule the van for Resident appointments.
  • Monitor records of all H & P's, TB tests, therapy and doctor visits for the Residents that are due.
  • Keep the Resident list current.
  • Check the Resident charts to insure all the necessary forms are in the charts.
  • Pull Resident charts as doctors request them.
  • Notify RCNA when doctors order RCNA services.
  • Track and facilitate the work order system on assigned units.
  • Check fax machine for orders and lab results and distribute appropriately.
  • Complete PT / OT/ ST requisitions.
  • Complete Doctor Office visit sheets as needed.
  • Call for Lab results as needed.
  • Assist in the creation of new admission records as needed.
  • Send faxes for nurses as required.
  • Send H & Ps and standing orders as required.
  • Facilitate obtaining medical record information from transferring facilities as requested.
  • Separate and distribute Recaps monthly upon arrival from the pharmacy.
  • Monitor and ensure that necessary forms are available in charts and on the units.
  • Computerize and update meal percentage sheets and 24 hr. report sheets.
  • Help keep and maintain all systems for documentation (e.g., summaries and assessments) on the units.
  • Performs other duties as directed by the Administrator, Director of Nursing, the Medical Records Coordinator, and the Medical Records Consultant.
