About The Position

Adult Protective Service (APS) is mandated by the New York State to provide social, legal, and protective services to individuals 18 years of age and older who are unable to meet their essential needs due to mental or physical impairments. APS aims to secure benefits, protect individuals from harm, and stabilize situations by providing necessary services such as medical care, financial management, and legal assistance. This role is for a Clerical Associate III to function as a Unit Clerk, responsible for supporting all APS Units with clerical activities, maintaining supplies, managing case records, processing documents, and updating the APS case management system. The position also involves handling inter-agency mail, preparing client case records, maintaining caseworker rotations, clearing cases in the APSNet system, gathering and sorting case information, maintaining staff schedules, preparing supply requisitions, and processing incoming mail and telephone inquiries.

Requirements

  • Permanent in the Clerical Associate Civil Service title.
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization.
  • One year of satisfactory clerical experience.
  • Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Responsibilities

  • Stocking and maintaining all necessary unit supplies.
  • Performing general clerical responsibilities for the units, including message taking, case record retrieval, and section supply requisitions.
  • Document processing and case updates in the APS case management system.
  • Supervising inter and intra-city agency mail communication to ensure efficient information sharing.
  • Preparing client case records for case management processing.
  • Performing difficult and responsible clerical operations.
  • Maintaining caseworker rotation in APSNet system and coded forms.
  • Clearing cases on APSNet databases to determine application status, current unit assignment, and ensuring supervisor and caseworker information is correctly reflected.
  • Troubleshooting with staff regarding case action and data input.
  • Gathering and sorting received case information from inter-office, U.S. Mail, and faxed information by unit workers.
  • Maintaining schedules for staff in the Units as directed by the Field Supervisor for lunch hours, field days, etc.
  • Preparing unit requisition forms for necessary section supplies.
  • Processing incoming mail, including receiving, opening, sorting, routing, and distributing materials to ensure prompt receipt by addressees.
  • Responding to telephone inquiries by referring or transferring callers to the appropriate unit or employee, taking messages, and providing information where appropriate.
