About The Position

Under general supervision, the Unit Clerk provides medical-clerical support for patient care and treatment within the Inpatient or Emergency Room of the Tohono O'odham Nation Health Care Hospital. This role assists nursing and medical staff with clerical and non-professional activities, managing all clerical procedures throughout a patient's care. The incumbent serves as a receptionist, performs record-keeping, and provides general support to the unit staff, addressing and resolving problem situations. Work is performed under the supervision of the Supervisory Clinical Nurse, with potential assignments from the Charge Nurse.

Requirements

  • High School Diploma or General Education Diploma
  • One year of general work experience in the medical field
  • Current certification in Healthcare Cardio Pulmonary Resuscitation (CPR)
  • Must complete a course in Medical Terminology within six months of hire
  • Criminal background and National FBI fingerprint check required
  • 39-month driving record check required
  • May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years)
  • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles
  • Knowledge of the Tohono O'odham culture, customs, and traditions
  • Knowledge of applicable federal, state, tribal laws, regulations, and requirements
  • Knowledge of hospital admitting requirements and procedures
  • Knowledge of the types of medical problems treated by each sub-division clinic
  • Knowledge of common medical terms, anatomy, common drugs, and correct spelling and appropriate medical abbreviations
  • Knowledge of legal regulations and requirements on confidentiality, specifically to the Privacy Act of 1974 and Health Insurance Portability and Accountability Act of 1996 (HIPAA)
  • Knowledge of the use of the Electronic Health Record and its templates

Responsibilities

  • Serve as a receptionist, greeting patients and visitors courteously and alerting Security to unauthorized visitors.
  • Receive and route incoming telephone calls, and receive and distribute mail.
  • Schedule appointments with other medical services and make necessary arrangements for patients, including requesting medical records and initiating requisitions for procedures.
  • Assemble new admission charts, transcribe doctor's orders, initiate lab requests and doctor's referrals, and file patient documents in both physical charts and the Electronic Health Record.
  • Schedule appointments with outside facilities and coordinate patient transfers by contacting relevant dispatchers, drivers, PRC, and Tribal transportation.
  • Arrange transportation for patients receiving healthcare within or outside the Nation's Hospital Unit, ensuring patient records are complete and accurate before transfer.
  • Assist with patient discharge orders and manage the final disposition of patient charts after discharge.
  • Maintain and enter data for the updated ER Log per EMTALA and Joint Commission requirements.
  • Perform patient registration duties, including updating demographics, verifying insurance, and referring patients to the Benefits Coordinator when necessary.
  • Maintain and replenish forms and office supplies for the unit.
  • Notify the Housekeeping department of routine requests and submit routine work orders using TMA.
  • Process and maintain time and attendance records for unit staff, including reviewing, auditing, and researching attendance records, and answering employee questions regarding time and attendance.
  • Maintain current lists of patient admissions, discharges, diet lists, and Inpatient blood sugar lists.
  • Attend monthly unit meetings and record minutes.
  • Promote Safety and Risk Management initiatives on the unit.
  • Complete and submit TMA requests.
  • Perform other job-related duties as assigned.
