About The Position

This position is responsible for various clerical duties within the Radiology Services department. The Unit Clerk will input patient information, process medical record requests, maintain electronic health records, confirm appointments, answer phones, and manage documentation. The role also involves coordinating with healthcare professionals, providing patient instructions, liaising with physician offices, managing transportation, and ensuring the cleanliness and comfort of the waiting area. Additionally, the position handles daily quality assurance, mail processing, census recording, tracking incomplete studies in PACS, and ordering supplies.

Requirements

  • Six (6) months direct work experience.
  • High School Diploma or Equivalency (HSE).
  • Valid, unrestricted insurable driver’s license.
  • Resume and references are required.

Responsibilities

  • Inputs patient information into the electronic data system to generate a visit record.
  • Processes requests for Medical Records utilizing the electronic data system.
  • Greets patients, collects patient data, and ensures the flow of patient care.
  • Maintains and updates electronic medical records (EMR) and scheduling systems with patient appointments, cancellations, and reschedules for various radiology exams.
  • Confirms upcoming patient appointments either in person or via telephone.
  • Answers phone calls, takes messages, and directs calls appropriately.
  • Requests, receives, and distributes documentation and requisitions.
  • Demonstrates proficiency and accuracy in Radiology Information System (RIS), Picture Archiving Communication System (PACS) systems, and Electronic Health Record (EHR) workflows.
  • Provides excellent customer service and demonstrates telephone etiquette.
  • Coordinates with radiologists, technologists, and other healthcare professionals to manage daily appointment schedules and accommodate emergency cases.
  • Provides patients with pre-examination instructions.
  • Handles patient inquiries related to radiology services, appointment timings, and preparation instructions.
  • Liaises with referring physicians’ offices to obtain and verify orders for radiology exams.
  • Manages the coordination of transportation services for patients requiring assistance.
  • Performs daily image Quality Assurance/Quality Control and records.
  • Processes department mail and routes correspondence.
  • Records and maintains daily census.
  • Tracks incomplete studies in PACS and requests necessary information for completion.
  • Tracks incomplete studies and reports them to the PACS administrator and respective technologist.
  • Monitors PACS to ensure accurate image and record consolidation.
  • Ensures all pre-radiology exam clerical workflows are completed in advance of patients’ arrival.
  • Monitors lobby and doorways for patient activity and maintains the patient waiting area.
  • Checks lobby for patients to minimize wait time and communicates any expected wait times.
  • Assists with answering phones and phone call overflow as needed.
  • Ensures orders are placed and correct.
  • Cancels orders that are not needed.
  • Prints and mails patient appointment letters.
  • Orders supplies utilizing the electronic order system.
  • Powershares images or burns images on CDs as requested.
  • Obtains orders from physicians.
  • Performs other duties as assigned.
