About The Position

The Tumor Registrar Assistant is responsible for assisting the Certified Tumor Registrar with maintaining the registry database according to American College of Surgeons (ACOS) and MHG standards, policies, and procedures. This role works under the direction of the Certified Tumor Registrar to report data according to department and registry standards and procedures. The assistant will communicate information to care providers, committees, and Certified Tumor Registrars, ensuring topography and morphology of registered tumor cases are appropriately coded and entered into the database. They will submit data to the National Cancer Database and the State Central Registry, maintain data request logs, and observe the CTR's participation in the publication of the annual report. Additionally, the assistant will aid with patient follow-up by searching databases and processing follow-up letters, prepare and track staging form packets, and provide administrative support to the Cancer Committee. The role also involves assisting with the identification of malignant disease cases from various hospital departments and clinics, collecting, summarizing, and coding demographic and clinical oncology information, completing abstracts under the CTR's leadership, and recording patient updates in the cancer registry database. The assistant will participate as a team member to achieve business goals, quality outcomes, and customer satisfaction, providing assistance to team members as needed. Regular and timely attendance is required, and participation in committees and performance improvement activities may be requested. The role requires practicing within legal, ethical, and professional boundaries, maintaining expertise, serving as a role model, and safeguarding confidential information. Other related duties may be performed as assigned.

Requirements

  • High School or GED Graduate or current student of an Associate Degree Programs
  • Two (2) years of experience working in an oncology setting to include medical oncology, radiation oncology, pathology, or cancer registry (non-CTR position)

Nice To Haves

  • Completion of the Surveillance, Epidemiology, and End Results (SEER) Tumor Registrar training modules
  • Three (3) years of experience in a hospital/cancer registry, oncology, radiation, or pathology setting

Responsibilities

  • Communicates information to care providers, committees, and Certified Tumor Registrar(s)
  • Topography and morphology of registered tumor cases are appropriately coded and entered in the database
  • Submits data to the National Cancer Database and the State Central Registry, as noted in the annual report under the leadership of the Certified Tumor Registrar
  • Maintains data request logs
  • Observes CTR's participation in the publication of the annual report
  • Assists with patient follow-up by searching various databases and processing patient follow up letters
  • Prepare, send, and track incoming and outgoing staging form packets
  • Provides administrative support to the Cancer Committee
  • Assists with maintenance of registry database according to ACOS and MHS standards, policies, and procedures
  • Assists in identification of all cases of malignant disease from hospital departments, clinics, physician offices, and documents in suspense file
  • Collects, summarizes, and codes detailed demographic and clinical oncology information from a variety of internal and external (paper and electronic) data sources
  • Completes abstracts under the leadership of the CTR
  • Assists with recording patient updates in the cancer registry database
  • Provides assistance to team members as requested or required
  • Regular and timely attendance is required for this job
