About The Position

This role involves processing cash and securities transactions within the trust accounting system, specifically for private equity and real estate position onboarding. The specialist will ensure accuracy and adherence to documentation, archive transaction-related documentation in Salesforce, and review investment documentation. A key responsibility includes performing risk analysis to determine asset acceptability for custody, considering IRS guidelines, regulations, and internal policies. The position requires proactive client communication regarding request status, prompt remediation of transaction issues, and adherence to client contact procedures. Additionally, the specialist will assist in training new staff, developing action plans for timely processing, and communicating transaction status with Sales/Service teams. Other duties as assigned.

Requirements

  • H.S. Diploma/GED required.
  • 2+ years' experience in a customer success role involving highly detailed transactions required.
  • Proficient in IRC 4975, prohibited transactions and all other ERISA guidelines.
  • Proficient in IRS publication 590 and regulatory requirements.
  • Excellent verbal and written communication skills.
  • Knowledge of operational procedures, practices and policies.
  • Demonstrates the ability to sell Bank products and services.
  • Able to mentor new associates through job training.
  • Requires the ability to multi-task and work with over 25 software applications.
  • Requires intermediate computer skills, including MS Office and banking software.
  • Skill in basic troubleshooting: mobile devices, browsers, and other technology as it relates to online banking.
  • Thorough understanding of products and services offered by bank. Advanced knowledge in specialty areas.

Nice To Haves

  • Bachelor's Degree preferred.
  • 1-2 years' experience in a fast-paced call center environment preferred.
  • Working knowledge of trust accounting systems, IRAs, and Alternative Assets is preferred.
  • Certified IRA Services Professional (CISP) designation with the American Bankers Association (ABA) preferred.
  • Self-Directed IRA Professional (SDIP) designation from the Retirement Industry Trust Association (RITA) preferred.

Responsibilities

  • Process cash and securities transactions in the trust accounting system related to private equity and real estate position onboarding.
  • Ensure all transactions are processed accurately and according to the relevant documentation.
  • Ensure all documentation related to the transaction is appropriately archived and noted in Salesforce (SF).
  • Review relevant documentation for private equity, real estate, and private debt investments.
  • Complete risk analysis to determine if the assets are acceptable for Columbia Private Trust to custody (inclusive of IRS guidelines, regulations, and internal policies and procedures).
  • Proactively communicate with clients via phone or email on the status of their request(s).
  • Quickly remediate any issues or concerns arising from processed or in process transactions.
  • Ensure all procedures related to client contact are adhered to.
  • Assist in training and development of new staff members.
  • Assist in creating action plans to ensure timely execution of related processing activities.
  • Communicate with Sales/Service teams on status of transactions.
