About The Position

We are seeking a proactive and seamless member of the Trust Relationship team to help anticipate, execute, and coordinate the PWA team's business. This role involves managing multiple aspects of the client relationship, including cash management, distributions, contributions, asset allocation, investment actions, client/account maintenance, and client inquiries. The Trust Relationship Specialist will coordinate with internal and external teams, build rapport with clients and intermediaries, and act as the client advocate to retain, preserve, and deepen existing relationships. This position supports the PWA business plan and may identify opportunities for expanding relationships. The specialist will strategize with PWA to establish a process/service model for addressing client needs, communicate with clients and advisors on various account and/or transactional processes, and oversee client communication materials. Additionally, the role involves coordinating with internal and external teams to onboard new account relationships, overseeing other fiduciary responsibilities related to trusts and IRAs, and ensuring compliance with trust and estate regulatory requirements. The Trust Relationship Specialist will also be responsible for trust committee review for investment policy, discretionary requests, distribution ratifications, loan requests, special assets, and interpretation of trust provisions. Coordination with internal and external professionals for estate and income tax compliance and proper trust accounting is also a key responsibility. The role may also coordinate foundation grant recipient activities and related special reporting, provide team/department support, oversee Relationship Associate tasks and workflow, attend client/intermediary meetings, and respond to ad hoc portfolio, regulatory, market, and investment strategy specific queries. Participation in projects related to the business' and team's overall business priorities is also expected.

Responsibilities

  • Leads and oversees multiple aspects of the client relationship including cash management, distributions, contributions, asset allocation, investment actions, client/account maintenance, and client inquiries.
  • Coordinates with internal and external teams as necessary.
  • Builds rapport with clients and intermediaries to maintain a positive working relationship in order to leverage PWA team.
  • Acts as the client advocate in order to retain, preserve, and deepen existing relationships.
  • Supports PWA business plan and may identify opportunities for expanding relationships.
  • Strategizes with PWA to establish a process/service model for addressing client needs.
  • Communicates with clients and advisors on various account and/or transactional processes and oversees client communication materials.
  • Coordinates with internal and external teams to on-board new account relationships (information collection, documentation and approval compilation, open and fund accounts).
  • Coordinates other fiduciary responsibilities related to trusts and IRAs (i.e. discretionary distributions, valuations).
  • Oversees the review, interpretation and administration of estate and trust documents, including trusts, wills, codicils, life insurance policies, and partnership agreements, including the preparation of a trust synopsis.
  • Plans for and utilizes systems and to facilitate the execution of ongoing trust provisions.
  • Oversees the establishment and execution of required and discretionary trust distributions.
  • Ensures the trust assets are invested according to the trust provisions and Prudent Investor Rule.
  • Oversees the administration of special assets including life insurance policies, mineral interests, real estate, limited partnerships, closely held stock.
  • Coordinates the selection and hiring of outside agents in the administration of the trust as necessary (i.e. real estate broker, asset valuation services).
  • Coordinates post-death trust administration.
  • Ensures compliance with trust and estate regulatory requirements.
  • Responsible for trust committee review for investment policy, discretionary requests, distribution ratifications, loan requests, special assets, and interpretation of trust provisions.
  • Coordinates with internal and external professionals to ensure estate and income tax compliance and proper trust accounting (i.e. court accountings).
  • May coordinate foundation grant recipient activities and related special reporting.
  • Provides team/department support.
  • Oversees Relationship Associate tasks and workflow.
  • Attends client/intermediary meetings as appropriate.
  • Meets recurring regulatory requirements mandated for trust companies and registered investment advisors, including trust committee review.
  • Responds to ad hoc portfolio, regulatory, market, and investment strategy specific queries both verbally and in writing.
  • Participates in projects related to the business' and team's overall business priorities.
  • Performs additional responsibilities as assigned.
