Requirements

  • High School Diploma, GED certificate or equivalent.
  • Two (2) years’ experience performing clerical functions in a legal office or courtroom setting.
  • Must be a team player with strong word processing and organizational skills.
  • Proficient with Word, knowledge of court systems and superior clerical skills are required.
  • Should be skilled, attentive to detail and accurate.
  • Ability to pass stringent background investigation.
  • Ability to operate general computerized office machines and equipment.
  • Ability to understand and follow oral and written instructions.
  • Ability to deal effectively with the public.
  • Basic understanding of court statutes and rulings.
  • Ability to maintain confidentiality.
  • Ability to work harmoniously and professionally with team members and supervisors.
  • Must possess and maintain a valid, unrestricted New Mexico driver’s license.
  • Must be able to successfully pass a stringent background investigation and character investigation in compliance with PL 101.630.
  • Will require a pre-employment and random drug screening.

Responsibilities

  • Receives court filed complaints, petitions, and motions.
  • Responsible for using the case management system to open, docket, and close cases based on judgement details.
  • Provides customer service information by providing general procedural information without giving legal advice.
  • Uses the case management system to open cases, make notations of file status, review documents for accuracy, and enters in case data.
  • Scans documents into the Records Management electronic system.
  • Receives revenues, enters into ledger accounts, and reconciles.
  • Processes, maintains, and distributes documents, files, and case materials.
  • Accurately disburses bond payments, prepares, and maintains bond reports.
  • Prepares, proofreads, edits, and mails out documents such as notices and final orders.
  • Maintains electronic receipts and ensures court fees are; accurately assessed, paid, receipted, and correctly recorded in the case management system.
  • Certifies and prepares court recordings and meeting minutes for court hearings.
  • Ensures the office, courtrooms, and equipment are operational.
  • Under general supervision, will perform clerical and technical duties involved in case processing, file maintenance, and the conduct of the clerical business of the court.
  • Answers phone calls, addressing incoming and outgoing correspondence.
  • Maintains office supplies and equipment.
  • Files documents in accordance with administrative procedures and legal requirements.
  • Maintains confidentiality of all privileged information.
  • Builds a professional relationship with internal/external contacts in an approachable and attentive manner.
  • Punctual and regular attendance is an essential responsibility for all team members and are expected to report to work based upon the assigned scheduled each day in accordance with the Attendance Policy for Pueblo Sandia.
  • Performs additional duties as assigned.
