About The Position

The Department of Economic Security (DES) is seeking an experienced and highly motivated individual to join their team as a Triage Administrative Assistant 3. This position provides high-level administrative support services to management within the Division of Developmental Disabilities (DDD). The role involves coordinating with AHCCCS, QA Manager, QM Administrator, Medical Director, QA Specialist, and District ALTCS/QA Staff to ensure the completion of Quality of Care Concerns received from AHCCCS. Additionally, the position assists the Medical Director with mortality reviews. DDD is dedicated to providing individuals with developmental disabilities and their families with flexible, high-quality, and member-driven services that promote independence and community engagement.

Requirements

  • Proficiency in ACCESS and EXCEL for database establishment, information extraction, and creation of tables/charts.
  • Understanding of Quality Management concepts.
  • Knowledge of the principles and practices of administration and management, including agency or program rules, regulations, and operating procedures.
  • Ability to manage a large, complex, and varied work volume with organization and good time management skills.
  • Good oral and written communication and listening skills.
  • Good customer service skills.
  • Ability to plan, coordinate activities, analyze, and establish priorities.
  • Ability to develop effective operating procedures.
  • Must possess and retain a current, valid class-appropriate driver's license if driving or using a vehicle is an essential function.
  • Must complete all required driver training and successfully pass all necessary driver's license record checks.
  • Must maintain acceptable driving records.
  • Must maintain statutorily required liability insurance if operating a personally owned vehicle on state business.
  • Successfully pass background and reference check.
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Nice To Haves

  • Three years responsible administrative experience, OR a bachelor's degree in a field appropriate to the assignment from an accredited college or university and two years responsible administrative experience.

Responsibilities

  • Database development, maintenance, extracting information and putting it into graphic display for analysis.
  • Coordinating with AHCCCS and staff for the completion of QOC Concerns, forwarding for approval, and final approval.
  • Maintaining a tracking calendar with due dates, establishing electronic and audit files.
  • Following up on missing documents and inquiries from AHCCCS.
  • Mortality review activities including obtaining critical information, organizing files, completing follow-up requests, maintaining databases, archiving, and assisting with data pulling for the Annual Mortality Review Report.
  • Handling payroll, tracking mandatory training completion for QA staff, answering phones, and ensuring office equipment is operational.
  • Coordinating all office activities and working with LOC's regarding fire drills, moves, etc.
  • Organizing bi-monthly group home seminars for the public, including arranging training rooms, taking registrations, sending materials, confirming trainers, and revising materials.
  • Coordinating meetings with internal and external individuals, writing minutes, completing agendas, and setting up conference calls.
  • Assisting the QA Admin Team with decision-making, prioritizing projects, process improvement plans, and follow-up activities.
  • Presenting topics to Monthly QA Unit Meetings.
  • Assigning work to QA Specialists such as Care Concerns, Credentialing, and HCBS monitoring.
