About The Position

Hematology Oncology Associates, established over 35 years ago in Palm Beach County, is seeking a Treatment Scheduler Coordinator. The practice includes 10 Board Certified Hematologist and Oncologists and 6 Nurse Practitioners across 3 locations. The organization aims to provide state-of-the-art cancer treatments with compassionate care in a warm, inviting environment, specializing in cancer, coagulation blood disorders, leukemias, and other hematologic benign conditions. The coordinator's role involves managing all treatment-related appointments, working with medical staff, communicating with patients, and maintaining accurate records.

Responsibilities

Coordinate and schedule all treatment-related appointments, including chemotherapy, immunotherapy, injections, lab work, and follow-up visits.
Work closely with oncologists, nurses, and other medical staff to ensure accurate and timely treatment planning.
Communicate with patients to confirm appointments, provide instructions, and address questions or concerns.
Monitor provider schedules and infusion chair availability to avoid scheduling conflicts or delays.
Verify prior authorizations for treatment when required; collaborate with insurance coordinators as needed.
Update and maintain electronic medical records (EMR) with current appointment and treatment information.
Ensure that treatment plans are accurately reflected in the scheduling system according to provider orders.
Respond to patient calls and messages in a timely and professional manner.
Maintain confidentiality and professionalism per HIPAA and practice policies.
Assist in the coordination of referrals, imaging, or outside consults as directed
