About The Position

All Star Smiles Orthodontics is seeking an enthusiastic full-time Treatment Coordinator to join their award-winning team. This role is crucial for creating exceptional patient experiences and helping people achieve their dream smiles. The practice is part of Corus Orthodontists, a network of over 50 practices across North America, and values support, integrity, hard work, fun, and growth mindsets.

Requirements

  • Dental or orthodontic office experience preferred.
  • Retail, banking or teaching experience also favored.
  • Working knowledge of Microsoft Office suite; proficiency with orthodontic management software systems is an asset.
  • Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
  • Keen attention-to-detail and time management skills; multitasker.
  • Team player with strong work ethic.

Nice To Haves

  • Proficiency with orthodontic management software systems is an asset.

Responsibilities

  • Creating Exceptional First Impressions – This begins with the new patient call. Welcome new patients with warmth and enthusiasm, setting the tone for their orthodontic journey.
  • Patient Appointment Scheduling – managing appointments for new and returning patients utilizing the appropriate scheduling templates.
  • Patient Appointment Status – Confirm that appointment reminders are being sent out, follow-up with unconfirmed appointments, and reschedule no-shows.
  • Practice Growth – Ensure that the schedule accounts for the appropriate amount of doctor time, filling openings as necessary and discussing any major changes with the clinical team.
  • Professional Communication – Generate correspondence for referring dentists and maintain detailed patient records.
  • Community Outreach – Participating in practice events, maintaining referring doctor relationships.
  • Presenting patient contracts – Making sure patients understand their financial options and obligations, understanding and coordinating benefits, posting payments.
