About The Position

Castle Pines Orthodontics, a 5280 Top Orthodontic Practice since 2002, is seeking a detail-oriented, reliable, and outgoing Treatment Coordinator/Marketing Coordinator to join their team. This individual should love kids, orthodontics, and be able to multitask in a moderately busy practice located in a growing community. The practice has a long-standing team and a strong commitment to the community through supporting local schools, sports teams, and events, as well as active participation in the local Chamber of Commerce. Dr. Andrew Dunbar, who has a background as a general dentist in the Navy, leads the practice and enjoys sharing his knowledge.

Requirements

  • At least 1 year of treatment coordinating and marketing experience is required.
  • Be self-motivated, organized, and have a positive attitude.
  • Possess great understanding of dental/orthodontic terminology.
  • Have excellent communication and written skills.
  • Have excellent public relations skills.
  • Work well with patients and team.
  • Be experienced in delivering high-level customer service.
  • Committed to the position arriving on time daily and staying late as needed.
  • Excellent computer skills including Microsoft Word, Excel, Teams, Canva and Outlook.

Responsibilities

  • Assist in ensuring the smooth and successful appointments of all new patients.
  • Be responsible for contracts signed by the responsible party prior to or on banding day.
  • Assist in producing performance and quality standards within the Treatment Coordinator room through customer service skills and attention to detail.
  • Maintain all treatment coordinator records and reports, and communicate them to the Practice Manager.
  • Set up treatment rooms for all new patient exams.
  • Welcome new patients/parents promptly with a warm smile.
  • Ensure the new patient experience is enjoyable every single time.
  • Check all new patient charts to ensure information was correctly entered upon scheduling.
  • Ensure new patient paperwork is completed, mapping fields from the online questionnaire into the chart, and ensuring compliance with HIPPA laws.
  • Complete New Patient X-rays and photographs for appointments.
  • Provide accurate and correct pricing based on treatment plan recommendations, including expected insurance amounts if previously verified.
  • Work numbers for new patients and set up comfortable monthly payments that align with office guidelines.
  • Keep records of all contracts, fees, referrals, and other important information.
  • Help to fill the schedule when needed by communicating with the Front Desk Coordinators.
  • Ensure accurate charting and insurance information has been entered correctly and submit insurance once the contract is signed.
  • Collect and scan new insurance information into the chart by obtaining a copy of the front and back of the insurance card and a completed half sheet.
  • Sign contracts with patients or parents before, but no later than, the banding date.
  • Answer any questions patients might have regarding treatment.
  • Work with the Practice Manager to ensure all contracts and documents are up to date, gather needed information, and update as changes take place.
  • Attend all staff meetings, front office meetings, and daily huddles.
  • Represent the practice in a positive way inside and outside of the office.
  • Assist with all marketing needs, including social media, marketing events, and marketing supplies.
