About The Position

The Travel Specialist serves as an Antarctic travel expert within ALE's Salt Lake City Sales Department. This role supports both direct guest bookings and reservations made through third-party resellers, ensuring every traveler receives accurate information and exceptional service. The Travel Specialist manages inquiries from prospective guests, coordinates with external travel agencies and guiding companies, and oversees staff travel arrangements. A key responsibility of this role is collecting and verifying all required pre-travel documentation and ensuring documents are complete, accurate, properly filed, and promptly requested when missing. The Travel Specialist also maintains precise and timely data in ALE's booking systems and provides general administrative support to the office. Antarctic Logistics & Expeditions (ALE) is the most experienced deep-field operator in Antarctica, providing a wide range of guided experiences, air support, logistical back-up and safety cover for governmental research programs, independent expeditions, and tourists. ALE is a Utah company with a year-round office in Salt Lake City and a seasonal operations support office in Punta Arenas, Chile.

Requirements

  • Associate or bachelor's degree in communications, business, hospitality, tourism, or a related field, or equivalent work experience
  • Three or more years of experience in travel, tourism, or hospitality, with demonstrated experience serving discerning or international clientele
  • Experience working with or within travel agencies, tour operators, or expedition/adventure guide companies
  • Hands-on experience using a CRM platform (Salesforce, HubSpot, or comparable) to manage contacts, pipeline, and interaction history
  • Proficiency with Microsoft Office (Outlook, Excel, SharePoint) for day-to-day administrative work
  • Proven ability to manage sensitive information with discretion and maintain meticulous records
  • Ability to make travel recommendations tailored to clients' interests and personalities
  • Excellent verbal and written communication and interpersonal skills
  • Ability and willingness to travel to Antarctica, Chile, and industry events
  • Candidates must be currently authorized to work in the U.S. without sponsorship.

Responsibilities

  • Sells Antarctic expedition travel to prospective guests and through trade partners, consulting on itineraries, logistics, and expectations for one of the world's most remote destinations
  • Manages relationships with external travel agencies, tour operators, and expedition guide companies, serving as their day-to-day point of contact at ALE
  • Delivers a discreet, polished, and highly responsive experience to discerning and international guests, accommodating cross-time-zone communication and handling sensitive personal information with absolute confidentiality
  • Maintains accurate, timely, and complete data in ALE's booking systems - including guest records, trade partner accounts, booking details, and interaction history
  • Collects, verifies, and securely stores pre-travel documentation including travel documents, visas, medical questionnaires, emergency contacts, and personal data, proactively following up on missing or incomplete items
  • Provides sales administration support including quote preparation, booking confirmations, invoicing coordination, and reporting for the sales team
  • Supports general office operations, including front-office coverage, mail and package handling, and trade show and convention logistics
  • May assist with booking staff international travel to Punta Arenas, Chile and other operational locations
  • Contributes to the continuous improvement of booking, CRM, and documentation workflows as ALE modernizes its systems and processes
  • Travels as needed to Union Glacier, Antarctica; Punta Arenas, Chile; and industry trade shows and conventions as a representative of the company
  • Other duties as assigned
