About The Position

This position is responsible for the direct supervision and direction of the garage and detailing team, ensuring the efficient, timely, and safe repair, maintenance, and cleanliness of agency vehicles. The role requires cross-functional leadership with the transportation supervisor to understand and comply with regulations from the New York State Department of Transportation (NYSDOT), Department of Motor Vehicles (DMV), 19A, and internal software systems. The position assists the Transportation Leadership Team in the effective operation of TRC Central Transportation Services and, in conjunction with or absence of the Transportation Supervisor and/or Manager, assists in supervising transportation staff (drivers & bus aids) to ensure friendly, personable, and timely transport services.

Requirements

  • Thorough knowledge of vehicle maintenance processes and protocols, including NYS 19A regulations.
  • Knowledge of or ability to learn New York State Department of Motor Vehicle and Traffic Laws and Regulations, as well as, Federal and New York State Department of Transportation Regulations for drivers and vehicles.
  • Reliability, flexibility, willingness and ability to provide coverage for assigned drivers as needed or assigned.
  • Ability to supervise staff.
  • Excellent organizational skills, including the ability to schedule multiple vehicle repairs and maintenance in an efficient and fiscally responsible manner.
  • Knowledge of Word, Excel spreadsheets, and ability to implement new departmental software.
  • Physical condition or reasonable accommodation(s) commensurate with the demands of the job.
  • Associate’s Degree or 60 credit hours of college coursework, preferably in a technical or trades background, customer service or vehicle-related field; OR High school diploma or GED plus four (4) years of related work experience with favorable work history; OR an equivalent combination of education and experience sufficient to indicate ability to do the job.
  • Minimum of one (1) year of which was in a management/supervisory/administrative capacity.

Responsibilities

  • Directly supervise and direct garage and detailing team in efficient, timely, and safe repair and maintenance and cleanliness of agency vehicles.
  • Ensure compliance with New York State Department of Transportation (NYSDOT), Department of Motor Vehicles (DMV), 19 A regulations, and internal software systems.
  • Assist the Transportation Leadership Team in the effective operation of TRC Central Transportation Services.
  • Assist in supervision of transportation staff (drivers & bus aids) to ensure friendly, personable, and timely transport services.
  • Provide administrative supervision of assigned transportation staff, including discipline, performance evaluation, in-service education, training, development, support, timesheet audits, and ensuring adequate staffing for vehicle maintenance.
  • Ensure all assigned staff are knowledgeable of, properly trained in, and compliant with assigned duties, quality standards, OSHA regulations, Safety Data Sheets (SDS), Shop Safety, and agency-wide policies and procedures.
  • Ensure sufficient staffing for the department, including development and maintenance of trained vehicle technicians.
  • Coordinate staff orientation with the Training Department and ensure new hires and regular staff receive ongoing training.
  • Oversee all aspects of the workforce, including timely completion of new hire paperwork, disciplinary actions, and other personnel-related matters.
  • Provide coaching, guidance, and training to individual vehicle service staff concerning personal and professional growth.
  • Ensure the safe and efficient operation of agency vehicles by addressing day-to-day problems, including timely repair, managing parts and ordering, staffing, and ensuring emergency equipment is available in all vehicles.
  • Assume responsibility for budgetary expenditures and revenue projections in conjunction with the Transportation Management Team.
  • Ensure the security and proper processing of all funds, property, and supplies located at the facility.
  • Ensure all duties are consistent with and in compliance with regulatory requirements and TRC policy and procedure.
  • Participate in the training of new staff, as needed or assigned.
  • Participate in the completion and/or coordination of tasks contributing to the effective operation of vehicle services, including scheduling, record keeping, staffing, purchasing/ordering, related accounting, budgeting, customer service, soliciting customer feedback, and adjusting practices to meet customer demands.
  • Conduct internal audits and reviews of service quality and customer satisfaction, as needed or assigned by the Transportation Management Team.
  • Participate in assigned trainings.
  • Ensure the safe and efficient operation of the mechanical and detail shop by addressing day-to-day problems, including shop supplies, physical plant issues, and staff interaction problems.
  • Ensure all emergency procedures are followed in an emergency.
  • Provide oversight to mechanics regarding minor repairs and maintenance of TRC’s fleet of vehicles to ensure safe operating condition and based on financial benefit of in-house service.
  • Ensure vehicle inspections are conducted in a timely manner and consistent with New York State Department of Motor Vehicles Inspection Regulations.
  • Establish schedules for preventive maintenance and perform preventive maintenance on the Agency fleet of vehicles, as needed.
  • Ensure documentation is completed for work performed, per established departmental guidelines.
  • Prepare requisitions for ordering parts and supplies and maintain a small inventory.
  • Ensure TRC’s vehicles are neat, clean, and organized to minimize accident potential, present a good image, and maximize output through efficient operation.
  • Serve as a dispatcher for all breakdowns, coordinating the Loaner Pool within the agency fleet, as needed.
  • Establish systems for the agency fleet and its users, assigning fuel purchasing PINS and maintaining the United Refinery database.
  • Issue handicapped tags for vehicles.
  • Assist in scheduling all DOT Inspections with TEAM Services Supervision Team and the NYS DOT Inspector.
  • Assist Detail Supervisor with scheduling and shuttling of TRC vehicles.
  • Review reports and send notifications to supervisors on staff with high speeding reports in the GPS system and follow up with supervision teams for execution and/or HR.
