About The Position

Under the direction of the Ancillary Services Manager, this role schedules transportation needs for residents, including dispatching drivers and managing daily logistics for transporting residents in a timely and cost-efficient way. The position also assists with driving duties as needed.

Requirements

  • Must be 21 years of age.
  • Must be able to multi-task in a high-paced environment and have excellent organizational skills.
  • Has excellent communication skills, verbal and written.
  • Proficient in Microsoft Word/Excel, Outlook and Internet.
  • Ability to work with spreadsheets and other software tracking programs.
  • Ability to work independently, exercising sound judgment.
  • Must be a person of integrity and a team player.
  • Ability to read maps and locate addresses.
  • Follow written and oral instructions.
  • Reaction time - The ability to quickly respond (with hand, finger, or foot) to one signal (sound, light, picture, etc.) when it appears.
  • Far and Near Vision – The ability to see things close at hand (such as signs) or at a distance.
  • Operation and Control – Controlling operations of equipment.
  • Must be able to complete training on computer and/or other devices.
  • Maintain competency in the position and knowledge of trade/industry advances and new technologies.
  • Must be able to effectively communicate in English with all levels of staff, residents, and guests.
  • Has current, valid driver’s license. Driving record must meet the criteria set forth by Royal Oaks’ insurance carrier.
  • Has CPR certification and First Aid certification card or can obtain them within 30 days of hire.
  • Has current and valid Fingerprint clearance card or apply for one within 20 days of hire.

Nice To Haves

  • Preferably has a high school diploma or GED equivalent.
  • Has experience in dispatching and scheduling.
  • Must have a minimum of three years’ experience in a commercial driving position or driving position in a senior community.
  • Preferably possess a valid CDL C driver’s license with P (passenger endorsement).
  • If applicable, has a Certificate of Completion for memory care services training or obtains within 30 days of hire and complies with annual certification requirements.

Responsibilities

  • Schedules and inputs transportation requests placed by residents and/or staff into Worxhub.
  • Dispatches drivers in the most expedient and efficient manner possible, ensuring residents are picked up in a timely manner.
  • Communicates any changes/delays with the appropriate scheduler, Caregiver, or resident.
  • Develops familiarity with frequently used locations and resident preferences/needs to provide better service.
  • Welcomes residents and guests at the front entry gate, providing directions on parking, check-in procedures, and location maps.
  • Notifies the appropriate department that a vendor or visitor is on campus as needed.
  • Maintains trip data in Worxhub, monitors vehicle maintenance needs, records transportation charges to residents, and communicates those charges to the Accounting Department.
  • Provides transportation to residents to and from hospitals, doctor’s appointments, grocery shopping, sponsored excursions, and other outings.
  • Maintains radio contact with dispatcher for delivery instructions.
  • Fuels and cleans vehicle as needed, responsible for routine maintenance, servicing, and repairs of vehicles.
  • Ensures residents have seat belts fastened properly and wheelchair brakes are locked and secured in place.
  • Follows all applicable traffic and vehicular safety rules and regulations.
  • When necessary, lifts, moves, and transports residents, using proper body mechanics or lifting devices.
  • Follows facility policy and procedure for reporting and documenting any incidents/accidents or variances of standard operations.
  • Able to work within a time schedule with minimal supervision.
  • Performs other duties as assigned.
