About The Position

The Site Training & Orientation Coordinator is based at the client site and is responsible for delivering the client’s site orientation, training, and access requirements for employees, contractors, and visitors. This role supports safe and compliant site entry by confirming that individuals meet all required qualifications, training, documentation, and fit-for-work requirements before accessing active work areas. The successful candidate brings practical industrial site experience, confidence delivering training to groups, strong attention to detail, and the ability to follow client procedures with consistency and professionalism. This role also requires accurate administration of training records, badging profiles, entry documentation, and compliance information using Microsoft applications and client site security systems.

Requirements

  • High school diploma or equivalent is required.
  • Minimum 3-5 years of experience in industrial, construction, energy, maintenance, manufacturing, or similar site environment facilitating orientation, safety training, equipment training, onboarding, or compliance sessions for groups is required.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and basic spreadsheet tracking.
  • Ability to use and maintain databases, training matrices, sign-in records, certification trackers, and reporting tools.
  • Ability to learn and administer site security badging systems, including profile creation, access levels, and expiry tracking.
  • Familiarity with industrial EH&S training requirements, equipment skill checks, PPE expectations, and site access processes.
  • Strong documentation, filing, recordkeeping, and follow-up skills.
  • Valid Driver's License
  • Ability to report on a daily basis to a client site
  • Ability to work around industrial operations, equipment, contractors, and active site conditions.
  • Ability to meet and maintain client site access requirements, including client-specific onboarding, clearance, or badging requirements where applicable.

Nice To Haves

  • Post-secondary education or certificates in occupational health and safety, industrial training, adult education, security administration, equipment operation, or a related field is considered an asset.
  • Train-the-trainer certification, such as Leavitt Machinery Forklift and Manlift Train-the-Trainer, is preferred.
  • Issuing site access badges, verifying entry requirements, maintaining training records, or supporting contractor onboarding is an asset.
  • Administering SCBA, respiratory fit testing, gas detection, fall protection, or related EH&S training is preferred.
  • 3-5 years of experience operating or training on machinery such as forklifts, aerial work platforms, telehandlers, or overhead cranes is an asset.

Responsibilities

  • Facilitate site orientation and indoctrination sessions for new hires, contractors, subcontractors, and other site entrants.
  • Issue site access badges to employees, contractors, and approved site entrants after verifying required documentation, training, certifications, and entry requirements.
  • Build and maintain accurate profiles in the security badging system, including access levels, expiry dates, restrictions, and required updates.
  • Monitor badge compliance and follow site procedures when access must be delayed, restricted, suspended, or escalated.
  • Identify opportunities to improve orientation flow, training scheduling, record accuracy, and the overall onboarding experience.
  • Partner with EH&S, Operations, supervision, security, and client representatives to keep training processes aligned with site requirements.
  • Schedule, coordinate, and administer specified EH&S and industrial site training based on site, client, regulatory, and operational needs.
  • Deliver or support training and skill checks for equipment and safety programs including overhead crane, aerial work platform, forklift, telehandler, fall protection, gas detection, SCBA, respiratory fit testing, and other site-specific courses.
  • Coordinate third-party or specialist training where required and ensure training is completed before individuals are released to work.
  • Maintain accurate training matrices, sign-in sheets, records, databases, spreadsheets, and audit-ready documentation.
  • Track upcoming expiries, refresher requirements, skill checks, and recurring compliance needs, and communicate gaps to operations and supervision.
  • Support reporting for training completion, site access readiness, contractor onboarding, and compliance status.
