About The Position

The Office of the Child Advocate (OCA) is an independent executive branch agency established to ensure that children receive appropriate, timely, and quality state services, with a focus on vulnerable and at-risk children. The OCA identifies gaps in state services and recommends improvements. The Center on Child Wellbeing & Trauma (CCWT) at the OCA supports state agencies and community partners in becoming trauma-informed and responsive. The Training Coordinator plays a crucial role in supporting projects within the CCWT team by coordinating training activities, preparing training materials, and attending training sessions. This entry-level role is ideal for someone highly organized, detail-oriented, and skilled in logistics, who wants to contribute to meaningful work for children and families in a mission-driven environment.

Requirements

  • Highly organized and high attention to detail, especially in formatting and editing documents and presentations.
  • Strong organizational and project coordination skills; ability to organize, prioritize, and manage multiple projects, while demonstrating flexibility to accommodate changes when needed.
  • Experience working with diverse teams.
  • Strong oral and written communication skills.
  • Proficient in Microsoft 365 Suite, Outlook, Word, Excel, PowerPoint and other commonly used computer software applications.
  • Ability to work at a high level of productivity, including handling a variety of tasks simultaneously, and ability to stay on task with frequent interruptions.
  • Ability to work both independently and collaboratively with a team.
  • Ability to travel across Massachusetts for training sessions as needed.
  • Bachelor’s degree in public policy/political science, psychology, sociology, human services, social work, or related field.
  • At least three (3) years of relevant experience in project coordination or administrative support, including drafting and editing documents and deliverables.

Responsibilities

  • Supports Training Specialists in coordinating trainings, including registering attendees, printing materials, and collecting feedback.
  • Attends in-person trainings to provide on-site logistical support.
  • Supports drafting, proofreading, and formatting training materials (e.g., presentations), guides, fact sheets, and evaluation forms.
  • Prepares and drafts training marketing materials (e.g., flyers).
  • Develops graphs and other visual aids to convey information.
  • Supports team leadership scheduling, including Zoom or Teams setup for meetings.
  • Manages team electronic files.
  • Supports meeting logistics, including creating and facilitating online meetings and taking minutes.
  • Supports management of email distribution lists.
  • Attends meetings and takes notes as assigned.
  • Manages the calendar for the CCWT Executive Director.
  • Conducts research and search queries on specific topics to support training design and delivery.
