About The Position

The Tournament Sales Coordinator provides administrative and operational support for the Tournament Sales Team. This position coordinates tournament details after each golf tournament/golf outing have been contracted through event completion and serves as a key point of communication between clients, Sales, Golf Operations, Food & Beverage, and golf course teams. The ideal candidate is highly organized, computer savvy, detail-oriented, and familiar with golf operations, golf outings/tournaments, tee times, and tee sheets. Success in this position requires the ability to manage multiple events, contracts, payments, tee sheets, deadlines, and client requests while providing a high level of service in a fast-paced golf and event environment.

Requirements

  • Exceptional communication and attention to detail, with the ability to manage and prioritize multiple client and team communications effectively in a high-volume, fast-paced environment.
  • Strong computer and technology skills required.
  • Proficiency with Microsoft Outlook and professional email communication.
  • Proficiency with Microsoft Excel, including creating and maintaining spreadsheets, sorting, filtering, organizing data, and using basic formulas.
  • Proficiency with Microsoft Word, including preparing and editing contracts, correspondence, and event documents.
  • Strong data-entry, document-management, and recordkeeping skills.
  • Ability to accurately prepare, review, and maintain contracts and detailed event documentation.
  • High school diploma or equivalent required.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to manage multiple tournaments, deadlines, and priorities simultaneously.
  • Strong customer service and problem-solving skills.
  • Ability to follow established policies, procedures, pricing guidelines, and approval processes.
  • Ability to work independently on assigned responsibilities while collaborating effectively with multiple departments.
  • Reliable attendance and ability to meet the scheduling requirements of the position.

Nice To Haves

  • Working knowledge of golf course operations and golf terminology strongly preferred.
  • Familiarity with golf tournaments, outings, formats, pairings, player counts, cart assignments, contests, scoring, and tournament flow preferred.
  • Experience with tee sheets and tee-time reservation systems, including tee sheet or similar golf management software, strongly preferred.
  • Ability to understand how tournament bookings affect daily golf operations and available tee-time inventory, especially in the public golf sector.
  • Previous experience at a golf course, country club, resort, tournament, event, hospitality, or similar environment preferred.
  • Experience with Tripleseat or similar CRM -event sales and management software strongly preferred.
  • Experience with tee sheet or another golf reservation/booking systems strongly preferred.
  • Ability to quickly learn and effectively navigate new software and technology platforms.
  • Additional education in business, hospitality, golf management, sales, or a related field preferred.
  • Two or more years of administrative, sales support, tournament, event, hospitality, or golf operations experience preferred.
  • Golf course or tournament experience strongly preferred.

Responsibilities

  • Coordinate tournament and group golf details after contracting through event completion.
  • Accurately manage, process, and track payments while ensuring timely and proper reconciliation.
  • Maintain accurate and current event information in Tripleseat, tee sheets and other company systems.
  • Track and collect contracts, deposits, payments, guarantees, player counts, deadlines, and required client documentation.
  • Maintain tournament calendars and coordinate tournament dates with Golf Operations and course leadership.
  • Enter and maintain tournament blocks, tee times, and related information in Tee Sheets, Tripleseat and/or other required systems.
  • Review tee sheets and tournament calendars to identify potential scheduling conflicts and communicate concerns to appropriate management.
  • Coordinate player lists, pairings, starting times, formats, cart requirements, scoring information, signage, contests, merchandise, food & beverages and other tournament logistics.
  • Communicate tournament requirements and changes to Golf Operations, Food & Beverage, and other departments involved in event execution.
  • Prepare event orders, tournament summaries, client lists, spreadsheets, reports, and other operational documents.
  • Maintain organized electronic files and accurate records for tournaments, outings, and group golf events.
  • Follow up with clients regarding contracts, deposits, payments, guarantees, player counts, menus, event details, and other outstanding information.
  • Assist clients with questions regarding tournament logistics, course policies, timelines, and event requirements.
  • Escalate pricing exceptions, unusual client requests, contract changes, or significant operational issues to the appropriate manager.
  • Assist with post-event documentation, billing information, client follow-up, and recordkeeping.
  • Maintain confidentiality of client, company, pricing, contract, and financial information.
  • Provide administrative and operational support to the Tournament Sales team as needed.
  • Perform other duties and responsibilities as assigned.
