Position Purpose The Leaves, Pension and Benefits Specialist is responsible for administering employee leave programs, pension plans, and benefit programs while ensuring compliance with applicable legislation, company policies and regulatory requirements. This role serves as a key resource for employees, managers, external vendors, and government agencies, providing guidance on leave entitlements, retirement programs, disability management, and employee benefits.

Requirements

  • Several years' experience administering leaves, pension, benefits, payroll, or human resources programs.
  • Knowledge and appreciation of employment standards legislation, pension legislation, privacy requirements, and human rights obligations.
  • Experience working with HRIS, payroll, and benefits administration systems, including Dayforce or comparable platforms.
  • Professional learning related to human resources, payroll, employee benefits, pension administration, disability management, or workplace accommodation practices.
  • Experience preparing reports, reviewing complex data, identifying discrepancies, and presenting findings.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage confidential, complex, and delicate information with professionalism.
  • Strong communication, relationship-building, customer service, and organizational skills.
  • Ability to manage multiple priorities and meet established timelines.
  • Advanced Microsoft Excel and reporting capabilities.

Nice To Haves

  • Certified Employee Benefits Specialist (CEBS), Certified Leave Management Specialist (CLMS), CHRP, CHRL, PCP, or comparable professional designations considered an asset.

Responsibilities

  • Administer employee leave programs, including Short-Term Disability (STD), Long-Term Disability (LTD), maternity and parental leave, family medical leave, personal leave, and unpaid leave programs.
  • Review leave requests and supporting documentation to determine eligibility.
  • Coordinate with employees, people leaders, healthcare practitioners, government agencies, and third-party administrators throughout the leave lifecycle.
  • Monitor leave durations, return-to-work dates, accommodation requirements, and case-related documentation.
  • Coordinate return-to-work and workplace accommodation processes.
  • Ensure compliance with employment standards legislation, human rights requirements, and organizational policies.
  • Administer pension programs, including enrolments, terminations, retirements, and pension-related transactions (Defined Benefit and Defined Contribution Pension Plan)
  • Conduct detailed examination and interpretation of pension data to ensure accuracy and resolve discrepancies.
  • Coordinate pension reporting requirements and audit activities.
  • Respond to employee inquiries regarding retirement and pension programs.
  • Liaise with pension administrators, actuaries, trustees, and regulatory organizations.
  • Administer health, dental, life insurance, disability, employee assistance, and wellness programs.
  • Process enrolments, life event changes, terminations, and benefit reinstatements.
  • Conduct audits of benefits information and payroll deductions to ensure accuracy.
  • Coordinate resolution of employee and vendor inquiries.
  • Participate in annual renewals and benefits enrolment activities.
  • Maintain accurate and confidential employee records.
  • Ensure compliance with pension, benefits, privacy, and employment legislation.
  • Support internal and external audits.
  • Prepare reports, metrics, and program-related documentation.
  • Participate in internal and external audit activities.
  • Recommend process improvements and contribute to policy and program development.
  • Develop employee communications, procedures, and educational materials.
  • Participate in employee onboarding, retirement support, and program awareness initiatives.
