About The Position

First Tennessee Human Resource Agency (FTHRA) is hiring a fulltime Administrative Assistant/Office Coordinator in their non-violent felony intensive outpatient and supervision program called Alternative Community Corrections Program (ACCP). The work hours are Monday to Friday from 8am to 5pm, including a 1-hour unpaid lunch break, in an office setting. This role is part of the criminal justice system, involving collaboration with case officers and treatment specialists at the agency's headquarters located at 704 Rolling Hills Drive in Johnson City. The position offers a compensation of $14.50 per hour along with excellent benefits such as 14 paid holidays, 12 days of paid-time-off, and a TN state pension. The TOMIS Coordinator/Receptionist will primarily be responsible for coordinating cases within the ACCP. Key duties include TOMIS (TN Offender Movement Information System) data entries and tracking of all offenders, maintaining inactive files, preparing monthly statistical reports, and performing basic reception duties. This position also serves as the State Coordinator for TOMIS for the Agency.

Requirements

  • High School education
  • at least two years experience in general office procedures

Responsibilities

  • Opens new and closes offender files as necessary. Makes all state required TOMIS movements of offenders and staff assignments. Inputs all TOMIS data in offender files. Serves as State liaison for TOMIS for the ACCP. Input all changes in offender assignments on TOMIS.
  • Tracks all movements on TOMIS for all offenders assigned to the ACCP and assists other ACCP staff with Tomis information as needed.
  • Is responsible for the cumulative collection of monthly reports from case officers, resulting in the overall program monthly statistical reports as required by TDOC monthly.
  • Answers telephone, forwards calls and or takes messages as appropriate.
  • Types correspondence, reports, and other documents as required. Photocopies, collates and assembles completed reports and documents.
  • Files correspondence, reports, forms, and other documentation as required.
  • Maintains all inactive client files, absconder and jail files and other necessary administrative files.
  • Is responsible for collection, recording and receipting of all client fees and the shipment of drug tests and DNA collections, in the absence of the “Assistant Receptionist/Cashier” position
  • Participates in staff meetings, conferences and training.
  • Submits to periodic and random drug/alcohol screens. Abides by Agency Rules, Regulations, Policies, Procedures and Agency Handbook.
