A TMS Coordinator plays a crucial role in healthcare settings by supporting physicians and other healthcare professionals in delivering patient care. TMS Coordinators are trained to perform a variety of clinical and administrative tasks, along with administering treatment sessions and assisting in brain mappings, ensuring smooth and efficient operation of medical facilities.

Requirements

  • High School Diploma or Equivalent
  • 6 months experience working as a Medical Assistant

Nice To Haves

  • Completion of a medical assisting program from an accredited institution
  • Certified Medical Assistant (CMA) from the American Association of Medical Assistants (AAMA)
  • Registered Medical Assistant (RMA) from American Medical Technologists (AMT)
  • National Certified Medical Assistant (NCMA) from the National Center for Competency Testing (NCCT)

Responsibilities

  • Maintain and update patient records, including insurance information, benefits investigations, and chart notes for treatment sessions administered.
  • Document patient PHQ-10 scores weekly, along with documenting daily treatment sessions.
  • Complete benefit investigations to determine coverage of treatment.
  • Schedule patients for consultations, mappings, and daily treatments.
  • Act as a liaison between patients, medical providers, and other healthcare professionals.
  • Relay important information and ensure that everyone involved in a patient's care is informed and on the same page.
  • Complete Benefit Investigations and schedule consultations with patients to explain benefits and costs.
  • Return patient calls and answer questions regarding treatment and insurance benefits.
  • Prepare patients for brain mappings and treatment sessions.
  • Position patients in the chair for mappings and daily treatment sessions along with placing the coil and administering treatments.
  • Listen to patients' concerns, questions, and needs.
  • Provide empathetic support and ensure that any immediate concerns are addressed promptly.
  • Share pertinent patient information with medical providers and other team members along with properly explaining the costs, duration of treatment, and expectations with the patients.
  • Collect PHQ-10s from potential patients and communicate with those that confirm they are interested in TMS.
  • Educate patients about treatments and costs.
  • Ensure the cleanliness of patient rooms and clinical areas.
  • Maintain strict confidentiality of patient information in accordance with HIPAA regulations.
  • Maintain compliance with federal, state, and payor regulations.
  • Responsible for other duties as assigned by leadership.
  • Attendance at scheduled work shifts is an essential function of this role.
