About The Position

The administrative operations lead supports Academic Success Centers through email and phone communication, event scheduling, supply procurement, and external communications, while also providing backup support for the reception area. TLC-specific duties include overseeing TLC facilities and technology, coordinating scheduling, monitoring operations in the tutoring spaces, and supporting both staff and the assistant director. The TLC Administrative Assistant also assists TLC student staff with maintaining a high level of professionalism among undergraduate peer educators. The position is also a contributing member of the TLC professional staff. This is a 75% appointment, with a full-time (100%) work schedule during the academic year and no work obligation during the summer months. Full position description is available upon request.

Requirements

  • Excellent verbal and written communication skills
  • Experience in a fast-paced multi-tasking environment
  • Experience with technology and software, including MS Office

Responsibilities

  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Oversees TLC facilities and technology
  • Coordinates scheduling
  • Monitors operations in the tutoring spaces
  • Supports both staff and the assistant director
  • Assists TLC student staff with maintaining a high level of professionalism among undergraduate peer educators
