About The Position

The Titling Specialist II is responsible for providing administrative and transactional support across vehicle operations, including auctions, transportation logistics, inspections, dealer services, and customer transactions. This role manages vehicle title and registration documentation, ensuring all records are accurately processed, verified, and maintained in compliance with company policies, industry standards, and state and federal regulations. The Titling Specialist II serves as a key resource for internal teams and external stakeholders by facilitating timely title processing and delivering exceptional customer service.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 to 3 years of administrative, clerical, or customer service experience, preferably within the automotive, transportation, logistics, or related industries.
  • Working knowledge of vehicle titling, registration processes, DMV requirements, and related documentation required.
  • Strong attention to detail with a high level of accuracy in document review and data entry.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, with the ability to learn new software and systems quickly.
  • Excellent organizational, prioritization, and time-management skills.
  • Strong verbal and written communication skills with the ability to interact professionally with internal and external stakeholders.
  • Ability to work effectively in a fast-paced, deadline-driven environment while managing multiple priorities.
  • Demonstrated problem-solving and customer service skills.
  • Ability to exercise discretion and maintain confidentiality of sensitive information.

  • Experience working in vehicle auctions, dealerships, fleet management, or automotive finance environments.

Responsibilities

  • Review and verify title documents for accuracy, completeness, and compliance with applicable regulations.
  • Process title transfers, reassignments, lien releases, corrections, and other ownership-related transactions.
  • Communicate with customers, financial institutions, dealerships, and regulatory agencies to resolve title and registration discrepancies.
  • Ensure compliance with departmental procedures, company policies, and state regulatory requirements.
  • Monitor, track, and follow up on outstanding titles to ensure timely receipt and resolution.
  • Maintain accurate title records and update internal systems with current documentation and status information.
  • Provide guidance and support to internal departments regarding title requirements, documentation, and processes.
  • Respond to and route incoming telephone calls professionally and efficiently to the appropriate personnel or department.
  • Process auction and sale-day transactions while providing a high level of customer service.
  • Investigate and resolve customer concerns, proactively addressing issues and ensuring satisfactory outcomes.
  • Maintain confidentiality when handling sensitive customer, vehicle, and financial information.
  • Perform additional duties and special projects as assigned.
