About The Position

America’s Car-Mart is seeking an experienced, detail-oriented Title Operations Manager to lead our centralized title management program. This role oversees the flow of critical title documents from vehicle purchase through final liquidation, ensuring each title is processed accurately, efficiently, and in compliance with applicable requirements. The ideal candidate is a strong people leader and process manager who can build scalable workflows, resolve complex title issues, and develop productive relationships with dealerships, vendors, government entities, and internal business partners.

Requirements

  • Experience leading title operations, document processing, or another detail-intensive operational function.
  • Knowledge of vehicle title processes and state-specific title requirements.
  • Demonstrated experience leading, coaching, and developing a team.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Experience developing workflows, procedures, reporting, and process improvements.
  • Strong problem-solving skills and the ability to resolve complex issues involving multiple stakeholders.
  • Clear and professional written and verbal communication skills.
  • High attention to detail when handling sensitive and business-critical documents.
  • Ability to build effective relationships with dealerships, vendors, government entities, and company leaders.
  • Ability to learn and effectively manage title-related software and systems.

Responsibilities

  • Manage daily title processes, including the receipt, sorting, review, and secure handling of sensitive, business-critical documents.
  • Oversee quality reviews of physical and electronic titles to confirm accuracy and negotiability.
  • Ensure title packets are accurately prepared, shipped, and tracked to dealerships and business partners.
  • Develop and maintain procedures that support the timely and accurate handling of company titling documents.
  • Safeguard title inventories and maintain accountability throughout the title lifecycle.
  • Develop and oversee processes for identifying and resolving title-related issues.
  • Collaborate with internal departments, dealerships, external business partners, and state government entities to address title concerns.
  • Coordinate changes and regular updates to departmental title software.
  • Identify and implement improvements that increase the scalability, efficiency, and effectiveness of the centralized title program.
  • Coach, mentor, and develop associates responsible for title management activities.
  • Manage performance reviews, scheduling, workload distribution, project delegation, and follow-up.
  • Establish clear expectations and ensure department priorities, initiatives, and deadlines are met.
  • Create and maintain training materials that support consistent and accurate title processes.
  • Maintain clear and timely communication with dealerships, company departments, vendors, and external business partners.
  • Develop positive working relationships that support the efficient movement and delivery of title documents.
  • Partner with company leadership to address concerns, communicate progress, and support operational goals.
  • Develop and maintain reports that provide department and company leadership with visibility into title operations.
  • Oversee audits of title processes and inventories and promptly communicate concerns to department leadership.
  • Monitor state-specific title requirements, regulatory changes, and industry developments.
  • Update processes and training as needed to maintain compliance and operational consistency.
