About The Position

Assists the Office Manager and Corporate Controller by performing various administrative and clerical duties related to vehicle titles and dealership operations. This role involves daily processing of title and registration paperwork, managing trade-in documentation, applying for titles, and assisting with financial transactions related to vehicle sales and floor planning.

Requirements

  • Valid Driver's License and clean DMV Report.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to accurately calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Advanced computer skills, including Microsoft Word and Microsoft Excel.
  • Ability to maintain a professional appearance and keep work area neat and clean.
  • Ability to be considerate and respectful to other employees.

Responsibilities

  • Daily DL RDMV tag posting and DLR50 when Lead Title Clerk is out.
  • Cut tag fee and deal overage checks to customers.
  • First bay tag agency posting when needed.
  • Monthly Docu pro posting.
  • Ensure tag accounts balance after posting.
  • Receive all trade-in deal jackets and determine proper filing based on lien status, title reassignment needs, or application for new/duplicate titles.
  • Reassign titles received on trade-ins.
  • Check all titles with an electronic lien to see if they have been released.
  • Apply for titles when electronic liens have been released, or for trade-ins received without electronic liens, or for duplicate titles.
  • Receive titles back from the tag office and post fees to the correct cost of sale accounts.
  • Reassign titles and stamp them correctly.
  • File titles in corresponding deal jackets, date stamp received, initial, and file deal jackets in the fireproof safe.
  • Receive mailed-in titles from lease trusts or other states, look up VIN, pull the corresponding deal jacket, verify mileage, customer, and store name, reassign title to the correct store, and file in the fireproof safe.
  • If a title is floorplan-able by age and mileage, make a copy for floor planning and assist with floor planning when needed.
  • Put titles sold to Tallahassee Manheim auto auction in a plastic envelope and send them out twice a week.
  • Receive paperwork from TMAA, make copies for filing, pull deal jackets, separate titles, copy titles, attach the title to the sold sheet from TMAA, and send to them twice a week.
  • Receive checks back from TMAA.
  • Receive all dealer trade packets from sales managers, make copies, separate paperwork into piles for posting, mailing, sold jacket, and incoming jacket.
  • Fill out blank deal jackets for incoming vehicles and place paperwork in them.
  • Reassign outgoing MSOs.
  • Post dealer trades, cut checks, and mail them to the dealer.
  • Receive checks back from other dealers, receipt checks, and file incoming paperwork in inventory filing cabinets.
  • File sold jackets alphabetically and post packets in dealer trade hanging folders for a specified period before shredding.
  • Reassign incoming MSOs.
  • If an incoming dealer trade hasn't been sold, make copies of the MSO and original vehicle invoice for floor planning and assist with floor planning when needed.
  • Receive MSOs for Honda and Acura, date stamp, look up stock number in the system, write stock number on MSO, enter weight in DMS, and file in the corresponding deal jacket.
  • Receive all new and used car deals, print necessary paperwork using DLRDMV, ensure customer driver's license is present, and prep for DSN.
  • Create a manifest in DSN, attach paperwork, and mail out for processing.
  • Keep deals with title or MSO issues and send them out once fixed, aiming to prevent deals from exceeding 30 days old.
  • File all posted documents in monthly file folders.
  • Ensure all accounts posted to balance.
  • Assist with tasks for other office staff as needed.
  • Communicate with callers in a professional, friendly, and efficient manner.
  • Maintain a professional appearance and keep the work area neat and clean.
  • Be considerate and respectful to other employees.
