About The Position

The Tenders and Contracts Specialist is an integral partner with the Sales/Service teams, providing central coordination of the company’s sales tendering business process and management of customer contracts, across all divisions. Day to day activities will vary as demanded by the market, customer needs and team assignments.

Requirements

  • Minimum 1-3 years related experience as tenders/ contracts coordinator/analyst.
  • Post-secondary education required and a minimum of 1-3 years related experience.
  • Advanced skills with Microsoft Excel
  • Advanced knowledge of financial concepts and Analysis as they relate to contract management.
  • Strong written and verbal communication skills.
  • Able to prioritize and problem solve.
  • Must be detail oriented.
  • Excellent interpersonal and organizational skills.

Nice To Haves

  • Experience in the medical industry is an asset.
  • French will be considered a plus.

Responsibilities

  • Monitor all tender websites to identify Requests for Proposals (RFP/RFQ/RFI) and work with sales, service, finance, marketing, regulatory and project management to ensure timely submission of completed proposals.
  • Lead the tender process from start to submission to ensure all requirements are met.
  • Communicate and establish timelines and set kickoff meetings to begin tender review and assignment of tender tasks.
  • Prepare submissions for tenders by working with all internal teams to ensure complete and accurate submissions of all tender responses, gathering all the required documentation, literature, pricing, signatures and certificates and meeting deadlines for each submission.
  • Check for amendments and addenda for all relative tenders and forward accordingly.
  • Physical assembly and/or electronic uploads of submissions.
  • Courier bid packages as proposed by sales with management signoff to meet customer deadlines.
  • Prepare quotes for Medical equipment in GForce (Sales Force).
  • Manage the Canadian Specific reference database.
  • Track outcomes of sales tenders and distribute to Canadian Management.
  • Extract reports from existing data and distribute to appropriate Director of Sales as necessary.
  • Establish and maintain communication of contract, pricing and product including updates to SAP with appropriate company departments and personnel. Add appropriate customers to individual and specific buying groups as required.
  • Manage the process of contract renewals, including the proactive collaboration with sales to ensure that contract pricing is accurate in SAP.
  • Create Pricing Analysis for Management in Relation to Contract Renewals and Changes.
  • Calculate and submit to Finance all rebate payments as per the schedule.
  • Analyze data: able to synthesize various, independently generated data points into cohesive reports.
  • Perform other duties as assigned by management.
