About The Position

As a Tenant Services Coordinator, you will play a pivotal role in managing tenant relations and ensuring smooth operations within the property. You will be responsible for providing front desk coverage, handling tenant inquiries, and coordinating tenant service activities. This role offers an opportunity to transition to a permanent position.

Requirements

  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office.
  • Fast learner with the ability to adapt quickly.
  • 2-4 years of experience in customer service, tenant relations, or property management.
  • Proficiency in property management software such as Yardi or AppFolio.
  • Problem-solving abilities and a proactive approach.
  • Customer service orientation.
  • Working knowledge of lease agreements and rental law.
  • Basic understanding of building maintenance.

Responsibilities

  • Provide front desk coverage and professionally manage incoming telephone calls.
  • Monitor and respond to requests received through the general email account.
  • Maintain and update tenant and emergency contact databases regularly.
  • Process Fitness Center membership applications and manage electronic directory listings.
  • Review and approve vendor and tenant access requests in accordance with building policies.
  • Conduct OFAC compliance searches as needed.
  • Retrieve, sort, and distribute incoming mail, and coordinate courier services and special deliveries.
  • Monitor and replenish coffee, breakroom supplies, and office supplies.
  • Serve as the primary liaison for office equipment vendors.
  • Assist with day-to-day administrative tasks such as correspondence, document preparation, filing, scanning, and copying.
  • Serve as the primary point of contact for tenant inquiries and service requests.
  • Coordinate with maintenance staff to schedule repairs and regular property inspections.
  • Assist with lease management duties, including lease administration, renewals, and terminations.
  • Address tenant complaints and service issues promptly.
  • Assist in the move-in and move-out process, including property inspections and security deposit assessments.
  • Maintain accurate records of tenant interactions, repairs, and maintenance.
  • Contribute to the preparation of monthly reports on tenant service activities.
  • Collaborate with cross-functional teams to provide cohesive tenant services.
