Requirements

  • Bachelor’s degree in business, real estate, property management, hospitality, communication, or a related field.
  • 2-3 years of relevant experience in property management, real estate, or a related field.
  • Strong verbal and written communication skills.
  • Proven organizational and customer service skills.
  • Proficiency in Word, Excel, Outlook, and Instagram.
  • Accounting software experience (e.g., Yardi).
  • Operational or leasing support experience.
  • Knowledge of security protocols or incident response.
  • May be required to stand and walk for most of the shift, including moving throughout the property, conducting inspections, addressing tenant concerns, and climbing stairs as needed.
  • Requires physical mobility to navigate different areas of the property during daily responsibilities.

Responsibilities

  • Act as the liaison between tenants and property management, ensuring positive communication and timely issue resolution.
  • Assist with leasing inquiries and facilitate property tours when managers are unavailable.
  • Support tenants move-in/move-out processes and maintain occupancy records.
  • Support Director in gathering tenant feedback and community engagement data.
  • Implement and maintain tenant feedback tools (e.g., digital surveys, chatbots) to gather real-time insights and improve satisfaction.
  • Use analytics tools to monitor trends in tenant engagement, feedback, and event participation, and escalate key insights to Property Management.
  • Maintain all tenant and contractor documentation, including WSIB, COIs, and Suppression Certificates.
  • Maintain accurate rent receipt logs and coordinate cheque handling.
  • Track and log rent cheques in shared drive; forward physical copies to accounting via FedEx.
  • Create POs, obtain Director/CFO approval, process invoices, and send to accounting weekly.
  • Oversee administration of the community room and boardroom bookings.
  • Schedule and coordinate community room bookings, contracts, COIs, and payment processing.
  • Prepare, gain approval for, and distribute tenant memos and mall notices; deliver physically where required.
  • Maintain and regularly update spreadsheets and shared drive files for safety and vendor compliance records.
  • Manage basic office operations such as supply inventory, equipment maintenance, mail sorting, and kitchen tidiness.
  • Answer office phone calls, take messages, and direct inquiries appropriately.
  • Add service reminders and recurring events to shared team calendars.
  • Organize files for shredding and lift boxes up to 20 lbs as required.
  • Support and execute mall-wide marketing and tenant engagement initiatives and seasonal events.
  • Organize and execute mall events including Chinese Dragons, Winter Fest, March Break, etc., ensuring full setup and takedown.
  • Maintain and update tenant-facing information on the website and social media platforms.
  • Coordinate signage printing, poster distribution, and monthly updates to rotating displays.
  • Assist with tenant engagement initiatives and property events.
  • Act as backup emergency support when security or management are unavailable.
  • Schedule and coordinate property inspections, maintenance, and repairs.
  • Update CMMS by creating work orders, uploading quotes and invoices, update asset, and close work orders.
