About The Position

HelloKindred is seeking a Technology and Onboarding Coordinator for a 6-month contract role, with potential for extension, to support seamless onboarding, offboarding, background screening, and technology administration processes across a global workforce. This role is remote and based in South Africa. The coordinator will ensure an efficient employee experience by managing IT enablement, technology assets and licenses, background and reference checks, and maintaining operational records for multiple regions. Collaboration with associates, clients, Talent Acquisition, People Operations, Finance, and IT partners is key to delivering responsive support, maintaining compliance, and ensuring operational excellence.

Requirements

  • Experience supporting onboarding, offboarding, technology administration, or people operations functions.
  • Knowledge of IT asset management, technology provisioning, and onboarding workflows.
  • Experience coordinating background screening and reference checking processes across multiple regions.
  • Familiarity with Microsoft 365 licensing, system provisioning, and employee technology support processes.
  • Experience maintaining HR and technology records within systems such as BambooHR or similar platforms.
  • Strong administrative and organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong verbal and written communication skills with the ability to engage effectively with stakeholders at all levels.
  • Ability to prioritize workloads, manage deadlines, and adapt to changing business requirements.
  • Strong problem-solving, decision-making, and analytical skills.
  • High attention to detail with the ability to maintain accurate documentation and process compliance.
  • Ability to work independently while collaborating effectively with global teams and stakeholders.

  • Familiarity with Signing Hub, FedEx logistics coordination, and IT ticketing systems is beneficial.

Responsibilities

  • Manage onboarding requests and initiate IT workflows.
  • Coordinate end-to-end setup of employee technology access, including email, software, system access, and hardware allocation.
  • Review and approve quotations for Microsoft 365 licenses and technical tools.
  • Procure or coordinate rental of laptops and accessories, including configuration and delivery.
  • Maintain and update employee records in BambooHR with IT asset assignments and EID information.
  • Distribute IT policies, onboarding documentation, and client-specific forms via Signing Hub and track acknowledgements.
  • Maintain accurate contact directories, distribution lists, and mailing groups.
  • Initiate and manage offboarding processes, including access removal and asset recovery.
  • Coordinate the return of IT equipment.
  • Update EID records, license allocations, and asset management trackers.
  • Verify and document returned equipment, maintaining reconciliation records.
  • Conduct annual IT asset audits and maintain technology inventory records.
  • Monitor and manage service tickets with IT partners and escalate unresolved issues.
  • Coordinate technical support interventions.
  • Ensure compliance with asset management procedures and collaborate with Finance on invoice validation and audits.
  • Manage the full lifecycle of background screening processes.
  • Coordinate candidate communication for background check documentation and appointments.
  • Monitor background check progress and provide updates.
  • Conduct live identity and address verifications.
  • Compile, review, and submit audit-ready background screening reports.
  • Archive completed background checks and communicate outcomes.
  • Receive and process candidate reference details.
  • Contact referees via telephone or email to obtain feedback.
  • Compile, validate, and store reference check outcomes.
  • Share completed reference reports with stakeholders.
