About The Position

Join Flair’s Maintenance team as a Technical Records Specialist, where accuracy, organization, and regulatory knowledge are essential to supporting safe and efficient aircraft operations. Reporting to the Manager, Records and Planning, you will be responsible for maintaining accurate and up-to-date technical records for the airline’s fleet while ensuring compliance with regulatory requirements and internal standards. In this role, you will work closely with teams across Maintenance, Engineering, and Quality Assurance to ensure all technical documentation is properly maintained, organized, and accessible. The position requires the ability to work independently with minimal supervision in an aircraft hangar, storeroom, or office environment. Shift work, including evenings and weekends, may be required depending on operational needs. This position is based on-site at our Calgary, AB office.

Requirements

  • High school diploma or equivalent (GED).
  • Minimum three (3) to five (5) years of experience in a similar role working with aircraft records.
  • Previous experience conducting audits and quality checks on technical documentation.
  • Comprehensive knowledge of aircraft-related manuals and technical documentation.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, and Outlook) is essential.
  • Experience with computer-based maintenance software; knowledge of AMOS is considered an asset.
  • Knowledge of the Canadian Aviation Regulations (CARs) as they apply to 705 operations is considered an asset.
  • Knowledge of B737 documentation is considered an asset.
  • Demonstrated ability to work effectively in a high-stress, deadline-driven, and dynamic work environment, while prioritizing tasks and assignments.
  • Strong verbal and written communication skills, including effective interpersonal communication.
  • Demonstrated ability to build and maintain effective working relationships with a variety of stakeholders.
  • Detail-oriented with strong organizational skills.
  • Ability to manage multiple tasks while maintaining an organized and efficient workflow.

  • Ability to lift 40–50 lbs; heavy lifting may be required.
  • Ability to work irregular hours or shift schedules, including evenings, weekends, and holidays, with varying schedules.
  • Clear criminal record check and satisfactory references.
  • Must be legally eligible to work in Canada without restriction.
  • Must be able to obtain and maintain a valid Restricted Area Identity Card (RAIC).

Responsibilities

  • Review incoming physical and electronic records (aircraft log pages, work packages, work orders, component paperwork, etc.) to ensure accuracy, completeness, and compliance with regulatory and company requirements.
  • Liaise with Quality Control, Fleet Engineering, Maintenance Control Center, Production, and the Material Supply team to support compliance with established standards and contribute to process improvements.
  • Review and validate aircraft flight information, ensuring correct utilization records are maintained in the MRO Tracking System and aircraft logbooks.
  • Ensure maintenance actions are accurately entered into the MRO Tracking System by updating relevant aircraft and component work order information, verifying task card completion, closing work packages, recording component replacements, confirming requirements verification, and maintaining overall system data integrity.
  • Initiate and control the process of correcting paperwork discrepancies in accordance with regulatory requirements and company policies.
  • Liaise with Maintenance teams, including vendors and contractors, as well as Engineering and Quality Assurance departments, to obtain the necessary documentation and information.
  • File and maintain digital archives of technical records for aircraft and components, including maintaining separate binders for AD, SB, MOD, STC, LLP, HT, and OC-CM compliance documentation.
  • Process incoming physical records by sorting and filing them into the temporary archive.
  • Prepare and organize records for transfer to an off-site storage facility for long-term retention, while updating and maintaining inventory status.
  • Manage the archiving and retrieval of technical records from off-site storage facilities as required.
  • Generate, verify, and submit weekly, monthly, and quarterly reports for internal and external stakeholders as required, and analyze data to support operational needs and process improvements.
  • Update and manage the inventory of physical aircraft logbooks.
  • Provide support for regulatory audits and inspections, as well as aircraft deliveries, returns, and lease transitions.
  • Provide support during lessor inspections (e.g., annual, mid-lease, and end-of-lease) by preparing and providing required reports, including Engine, APU, and Landing Gear Life Limited Parts (LLP), Airworthiness Directives (AD), Service Bulletins (SB), Supplemental Type Certificates (STC), Modifications (MOD), Major Repairs (STR), Hard Time Components (HT), On-Condition Monitoring Components (OC-CM), and Total Aircraft Time and Cycles (TAT/TAC). Responsibilities also include preparing documentation binders (component install/removal records, shop visits, certifications, task cards, and engineering orders compliance) and supporting other tasks required by the lessor as outlined in aircraft leasing agreements.
  • Participate in the implementation of the Electronic Technical Logbook (ETL), as required.
  • Contribute to process improvement initiatives aimed at enhancing the efficiency and accuracy of technical records management while maintaining compliance with safety standards and established procedures.
  • Stay informed on industry best practices and regulatory changes related to technical records management.
  • Perform other duties as assigned by the Manager, Records and Planning.
