About The Position

The Technical Administrative Coordinator performs overall information systems planning, implementation, and administration across a variety of IT functional areas. Exercises independent judgment in evaluating business needs and recommending technology solutions, priorities, and process improvements. Supports management and general business operations by advising on technology workflows, systems administration, and operational effectiveness. The position maintains detailed documentation of IT methodologies, processes, and system specifications, assists with planning and scheduling IT initiatives, and supports the installation and configuration of network infrastructure, including LANs, WANs, and wireless networks. In addition, this role monitors network performance, implements basic security measures to protect systems, networks, and data, and helps ensure backup strategies and recovery plans remain current and effective.

Requirements

  • Three or more years of experience in executive administrative support, technical coordination, IT support, or a comparable blended role.
  • Ability to exercise independent judgment in evaluating business needs and recommending technology solutions
  • Demonstrated technical fluency — comfortable learning, configuring, and supporting software platforms and basic hardware.
  • Strong working knowledge of Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint, Word) and collaboration/productivity tools.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Demonstrated experience prioritizing competing needs and making recommendations affecting operations
  • Proven ability to manage multiple priorities, meet deadlines, and stay organized in a fast-paced environment.
  • High level of discretion, professionalism, and sound judgment when handling confidential and sensitive information.

Nice To Haves

  • Experience supporting technology, engineering, or data teams.
  • Familiarity with AI tools and concepts (e.g., generative AI, chat assistants, automation platforms) and a genuine interest in the field.
  • Experience with IT support practices such as ticketing systems, account/access management, or device administration.
  • Exposure to project coordination tools and methods (e.g., Asana, Jira, project trackers).
  • Experience supporting technology in a nonprofit, ministry, or mission-driven organization, and preparing executive - or board-level materials.

Responsibilities

  • Manage complex calendars, scheduling, and meeting logistics for technology leadership, including resolving conflicts and protecting focus time, and coordinate domestic and occasional travel, itineraries, and expense reporting.
  • Draft, proofread, format correspondence, memos, reports, and presentations; maintain documentation, runbooks, and internal knowledge resources for tools and processes.
  • Prepare agendas, capture notes and action items, track follow-through to completion, and serve as a first point of contact for the executive office, screening and routing requests appropriately.
  • Evaluate service requests and project needs for business impact. Collaborate with end users to diagnose and resolve technical issues across hardware, software, account access and connected systems; escalate to the appropriate IT staff or vendors when needed.
  • Lead the onboarding and offboarding technology process for team members, including equipment setup, account provisioning, and access management.
  • Coordinate with IT and vendors on procurement, licensing, renewals, and asset tracking for hardware and software throughout their lifecycle.
  • Independently administer and configure SaaS platforms, collaboration tools, and core IT systems, while maintaining documentation of methodologies, processes, and specifications.
  • Independently prioritize operational support needs and assess impact and urgency of IT issues.
  • Implement basic security measures to protect systems, networks, and data, and recommend resource alignment and response actions.
  • Work closely with engineering, data, and AI teams to keep projects moving, stakeholders informed, and a working understanding of the technology stack and AI roadmap current.
  • Provide materials and updates on technology and AI strategy to executives, leadership, and board-level members. Advises leadership on operational needs and risks.
  • Manage budgets, purchase orders, invoices, and reimbursements for the technology office, and plan and coordinate team meetings, offsites, and events.
  • Identify opportunities to improve administrative and operational workflows, including through automation and AI-assisted tools.
