About The Position

The Team’s Department is a team-oriented department focused on providing our athletes with excellent customer service on and off the mountain. Under the direction of the Team’s Manager, the Team’s Administrative Assistant supports the department’s successful operations by performing various key administrative and regular duties. This position works closely with the Team’s Manager, coaches and athletes to achieve the objectives of the department in alignment with business plans as well as company vision and goals. This position also coordinates with other departments such as Accounting, Human Resources and Marketing to ensure processes, procedures and information related to daily Team’s operations are followed and accurate. This position requires an organized individual with strong interpersonal skills and the ability to multitask. This is a KEY member of the Dodge Ridge Team.

Requirements

  • Administrative experience in a professional setting.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.

  • Good physical condition as this position may require: hiking, shoveling, lifting, carrying and walking and working on uneven ground, deep powder, icy and wet surfaces.
  • Heavy and awkward lifting up to 50lbs.

Nice To Haves

  • Team’s Race, DASH, Freeride Program experience preferred. Typically gained through work or participation in a program as an athlete or athlete guardian.
  • Experience with supervision of employees, group or team preferred.

Responsibilities

  • Under the direction of the Team’s Manager, performs key administration duties of the Team's Department to support smooth operations.
  • Ensure all department administrative systems, processes and information are up-to-date and well managed.
  • Maintain any appropriate records as set forth by company policy and procedures.
  • Prepare and maintain accurate daily/weekly schedules.
  • Assist in the daily program supervision, supporting coaches and athletes. Communicate to department manager and company leadership team proactively.
  • Assist Team’s Manager with planning and organizing coaches travel including: Prepare travel plans in accordance to company travel policy, Coordinate with accounting to ensure expenses are addressed per the policy and receipts are collected and submitted in a timely manner, Support the departments overall adherence to any policies and procedures relating to travel, including payroll items like submitting accurate time records promptly.
  • Support the overall departmental payroll duties. This includes reviewing timecards regularly, ensuring proper and accurate timekeeping documentation and resolving issues in a timely manner. Coordinate with HR/payroll regularly.
  • Assist as needed with Team's registrations.
  • Assist with facilitating and promoting regular communication among athletes, parents and staff.
  • Assist with the organization of parent volunteers to assist with Team's as direct by Manager.
  • Provide support with team conduct supervision to help athletes follow USSA Code of Conduct and at all times adhere to the Skiers Responsibility Code. Work with Team’s Manager and Team’s Supervisors to correct behavior in an appropriate manner if needed.
  • Support departments commitment to ensure all aspects of an athlete safety remains a top priority.
  • Maintain a department employee safety binder and coordinate with staff to ensure relevant weekly safety meetings are complete and documented. Work with Risk Manager on department’s safety responsibilities.
  • Work with the Accounting Department to gain approval for all spending & purchasing requests as outlined in the department business plan.
  • Assist the manager in working closely with the Marketing Department to maintain updated departmental information on the website and post Team's results in a timely manner.
  • Be an example and leader demonstrating commitment to professionalism and personal conduct expectations in all interactions made on behalf of the company. Be a positive role model for athletes and coaches.
  • Performs other related duties as assigned.
