This position blends exceptional customer service with light administrative support to ensure the front office operates smoothly and efficiently. The ideal candidate is friendly, organized, and able to manage multiple responsibilities in a fast-paced environment.

Requirements

  • High school diploma required
  • Prior experience at the front desk, hospitality, or customer service.
  • Excellent interpersonal, communication, and organizational skills.
  • Proficiency with Microsoft Office Suite or Google Workspace.
  • Professional presentation and demeanor.
  • Ability to multitask effectively in a fast-paced environment.
  • Bilingual required (English/Spanish preferred).

Nice To Haves

  • associate degree preferred
  • Experience with visitor management systems.
  • Familiarity with appointment scheduling or event coordination tools.

Responsibilities

  • Warmly greet and assist all visitors, ensuring they feel welcomed and supported.
  • Check in guests, issue visitor badges, and promptly notify staff of their arrival.
  • Maintain a clean, organized, and professional reception area and lobby area at all times.
  • Handle incoming packages and deliveries efficiently.
  • Manage calendars, schedule meeting rooms, and coordinate appointments to support team operations.
  • Prepare, edit, and distribute correspondence, reports, and internal communications as needed.
  • Support administrative functions such as filing, copying, scanning, data entry, and maintaining accurate records.
  • Answer, screen, and direct phone calls and emails in a professional and timely manner.
  • Assist with onboarding logistics, including preparing new hire documentation and orientation gear.
  • Follow safety and security procedures for all visitors’ access.
  • Assist applicants with completing pre-interview documentation.
  • Support the company’s Employee Engagement Committee and related engagement initiatives.
  • Serve as a point of contact for internal and external stakeholders, ensuring effective communication and follow-up.
  • Perform other administrative duties as assigned to support leadership and team operations.
