About The Position

The Team Lead Registration Specialist provides day-to-day leadership and functional guidance to the front office registration team while continuing to perform Registration Specialist duties. This role is responsible for ensuring efficient clinic operations, supporting team member development, monitoring productivity, and maintaining exceptional customer service standards. The ideal candidate is a strong leader who can confidently manage emergent situations, coach and develop team members, and foster a positive, collaborative work environment. CMAA certification is required for consideration.

Requirements

  • High School Diploma or GED required.
  • Minimum of 3 years of relevant experience in a healthcare setting.
  • Certified Medical Administrative Assistant (CMAA) certification required.
  • Successful completion of the Foundation of Leadership program within six months of assuming the role, or completion of the Emerging Leaders Program.
  • Demonstrated ability to lead, coach, and support team members while maintaining high standards of customer service and operational excellence.

  • Previous leadership or supervisory experience.
  • Coding experience.
  • Experience coaching, mentoring, and developing staff.
  • Experience in patient registration, patient access, or front office operations within a healthcare environment.

Responsibilities

  • Lead and support front office team members to ensure daily responsibilities are completed accurately and on time.
  • Coordinate staff schedules and workflow coverage.
  • Train, coach, mentor, and develop Registration team members.
  • Monitor performance, productivity, and service quality.
  • Address operational issues and support escalation needs.
  • Serve as a resource and point of contact for team support.
  • Promote teamwork, engagement, and continuous process improvement.
  • Conduct monthly rounding and participate in annual Rapid Improvement Events and Quality Improvement initiatives.
  • Ensure compliance with organizational policies, procedures, and standards.
  • Manage patient flow from arrival through destination in a timely and professional manner.
  • Obtain accurate demographic and financial information to support reimbursement and clinical outcomes.
  • Schedule appointments and collect required patient information.
  • Explain charges, policies, and procedures to patients.
  • Validate and enter charges into appropriate systems.
  • Collect payments and answer incoming calls.
  • Direct patients and visitors appropriately.
  • Precept and support Registration Specialists as requested by leadership.
  • Perform higher-level functions as defined by clinic management.
