About The Position

The New Zealand Consulate-General is seeking a proactive Team Administrator – Finance and Property to provide business administration support in a diverse and fast-paced working environment. This full-time, locally engaged position is based at the New Zealand Consulate-General in Los Angeles. The role involves providing general administrative support with a particular emphasis on financial reporting and analysis, and effective management of property and assets to ensure the efficient and smooth running of the Consulate-General. The appointment starting salary range is USD $58,168 - $68,433 total remuneration, negotiable depending on experience. The Consulate-General offers Medical, Dental, and Vision Insurance for employees and their non-working dependents, as well as workers' compensation and disability insurance. Airfares or relocation assistance will not be provided. The successful applicant will be employed on local terms and conditions and must have the right to work in the United States. The Consulate-General will assist with applying for the appropriate work visa if the applicant does not already have work authorization for the USA. The successful applicant will also be responsible for ascertaining and meeting their own New Zealand or US tax liabilities. The preferred candidate would be a New Zealand Citizen or Dual National or a US Citizen and be able to obtain and maintain an appropriate NZ Government Security clearance. This is a 'corporate' role, not a foreign policy/diplomatic role.

Requirements

  • Demonstrated experience in a business administration role with a focus on financial management.
  • Well-developed planning and organisational skills, including ability to prioritise tasks effectively and work under pressure.
  • Strong written and oral communication skills.
  • Ability to work independently and as part of a small team.
  • Integrity and initiative.
  • Must have the right to work in the United States.
  • Ability to obtain and maintain an appropriate NZ Government Security clearance (preferred for NZ Citizen or Dual National or US Citizen).

Nice To Haves

  • Tertiary qualification in business administration.
  • Demonstrated experience in finance functions in an office environment.
  • Significant previous experience and knowledge of financial management and reporting.

Responsibilities

  • Developing and tracking the Consulate-General’s budget, making payments, managing cash balances, and providing monthly financial reports, administering staff leave and salary payments.
  • Act as the primary administrative contact between the Consulate-General and US State Dept. Notification of staff arrivals and departures, staff changes, ID cards, etc.
  • Administering the Consulate-General’s assets including the office, vehicles, Residence, equipment and furniture, and assisting with property maintenance and purchases – scheduling, recording, and coordinating service providers.
  • Central point for IT problems at the Consulate-General and coordination with Ministry of Foreign Affairs and Trade (MFAT) Service centre and external providers for resolution.
  • Additional administration duties across the Consulate-General.
