About The Position

Olsen Thielen & Co., Ltd., a progressive 100+ year-old local CPA firm with offices in Roseville & Eden Prairie, MN, is seeking a full-time, talented, and enthusiastic Office Administrative Specialist to join their team. This role is responsible for providing administrative support to the tax department to fulfill client needs. The position is an in-office role, requiring full-time hours Monday through Friday, with some Saturdays during tax season as needed in the Eden Prairie office. Occasional work, training, or meetings in the Roseville office may also be required. The ideal candidate is a team player, detailed-oriented, and interested in a family-oriented culture. The Office Administrative Specialist will be part of an integrated team, delivering timely, accurate, and courteous service to internal clients and firm personnel. They must be able to manage multiple projects, undertake various day-to-day office tasks, and anticipate needs while delivering exceptional service.

  • One or more years of related administrative support experience working in a CPA firm is preferred
  • High school degree or equivalent experience is required

  • Communicate effectively in both written and verbal capacities
  • Team player and flexibility able to adjust to changing priorities
  • Fully authorized to work in the U.S. without the need for current or future sponsorship

Nice To Haves

  • CCH Access and Autoflow experience preferred
  • Associates degree is preferred

Responsibilities

  • Final assembly of personal and business tax returns by mail, pick up and electronic delivery
  • Prepare and e-file tax extensions
  • Proactively manage database and workflow systems to ensure accurate maintenance of client data
  • Respond to client needs on behalf of tax teams as needed to assist in time and workflow management
  • Organizing and scanning client documents
  • Track and manage tax e-file deadlines
  • Tax form management, collect and process in a timely manner
  • Photocopy, scan and file
  • Maintain client logs
  • Process of incoming and outgoing mail
  • Schedule client meetings
  • Assist with other company administrative functions as requested
  • Prioritizes and is resourceful in completing tasks through multi-tasking and utilizing creative thinking
  • Works well with time sensitive projects and adaptable to specific deadlines
  • Leads with strong communication and demonstrates effective interpersonal skills
  • Drives change and efficiencies within the team
  • Completes and manages workflow functions with the ability to expand with experience
  • Possesses strong technology skills with an ability to adapt to changes and new programs
  • Understands and can support all administrative functions within a group and an office
  • Produces quality, professional internal and client-facing documents
  • Implements firm and office processes and procedures with direction from a supervisor
  • Participates in local, regional, and firmwide teams to serve our clients
  • Provides support by being a team player for other Office Administrative Specialists when they are out of the office by covering their duties and responsibilities
