About The Position

Works under the supervision of an assigned Supervisor to be responsible for tax collection by receipting, recording, and depositing tax payments for Shelby County and other municipalities. This position involves collecting and processing property taxes through various channels, performing daily financial reconciliations, interfacing with vendors, issuing refunds, assisting taxpayers, and managing tax documents.

Requirements

  • Four (4) years of experience in municipal tax or bank receipting/collections, financial or mortgage institution tax collections, lockbox transactions and/or electronic processing or similar.
  • Associate’s degree from an accredited college or university in business administration, management, finance; OR An equivalent combination of related education and/or experience.
  • Ability to effectively communicate (verbally and in writing).
  • Ability to prioritize workflow and comply with internal controls to meet deadlines related to tax collection processes.
  • Ability to remain calm and presentable in hectic situations.
  • Ability to handle stressful situations and distractions.
  • Skilled at operating standard office equipment.
  • Skilled in Microsoft Office Word, Excel, and PowerPoint.
  • Ability to perform multiple tasks simultaneously with accuracy.
  • Ability to convey tax information with tact, understanding, and courtesy.
  • Ability to work independently as well as part of a team.
  • Must have reliable transportation.
  • May be required to work at offsite locations during tax season.
  • Subject to a background check for any convictions that have a substantial relationship to potential job duties.
  • Must be a resident of Shelby County and shall continue to reside in the County as a condition of their employment (with specific exemptions for certain public safety/civil service positions).

Responsibilities

  • Collects and processes property taxes, including payments received in the mail, via payment kiosks, internet, counter transactions, and over the phone.
  • Performs daily file transfers and reconcilement associated with the posting of payment, the distribution of payment information to external payees (i.e., mortgage companies and real estate services), the sending of Image Cash Letters to the bank, the electronic uploads from online banking providers, and the electronic payments received from the State of Tennessee.
  • Conducts daily deposit activities associated with electronic file transfers and payment activities.
  • Interfaces with vendors to ensure optimum equipment and software functionality.
  • Performs activities associated with the issuance of refunds via electronic workflow and routing software.
  • Assists taxpayers, mortgage companies, county offices, and other entities over the phone or in person with tax-related problem resolution.
  • Images critical tax documents.
  • Processes uploads of delinquent tax files submitted by various municipalities.
  • Research tax parcels under State and/or County appeals.
  • Performs other duties as required or directed.
