About The Position

We are seeking a Tax Administrative Assistant to join our Tax team based in our corporate office in Oak Brook, IL. The Tax Administrative Assistant provides administrative support to the Tax Department by helping organize documents, track deadlines, process routine paperwork, and assist with departmental tasks. This role supports the team with day-to-day administrative activities and requires strong organization, attention to detail, and the ability to manage multiple tasks.

Requirements

  • High school diploma or equivalent; Associate degree in business administration or a related field is preferred.
  • Proven experience in an administrative or support role.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office and familiarity with office equipment.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritize effectively in a fast-paced environment.

Responsibilities

  • Maintain the calendar of tax filing deadlines and monitor work in progress status.
  • Assistance gathering information necessary to file various returns.
  • Process tax payments in collaboration with Accounts Payable and Treasury.
  • Assist with filing, organizing, and maintaining documents to support efficient record retention and retrieval.
  • Coordinate mailing of tax returns and payments, including preparation and submission of certified USPS mailings.
  • Distribute reports to relevant stakeholders in a timely manner.
  • Facilitate communication between providers to ensure smooth operations.
  • Assist with scheduling meetings and managing calendars for team members.
  • Support various projects and initiatives as assigned by management, providing administrative assistance and coordination as needed.
  • Other assigned duties.
