About The Position

ElevenLabs is hiring a hands-on Ashby expert for its Talent Operations team. The team manages the systems, workflows, and data that support hiring across more than 200 open roles in over 40 countries. This role translates hiring priorities into reliable system setups, supports recruiters and interviewers, and identifies issues before they affect hiring processes or reporting. Talent Operations works from first principles, with an emphasis on candidate and stakeholder experience, automation, and AI. Initially, the role is expected to be split approximately 60% Ashby configuration and administration, 25% scheduling support and Talent Operations projects, and 15% data and reporting. The position owns Ashby support and administration, interview plans, job and posting setup, and applicant tracking system data quality. It also supports process changes, tooling rollouts, scaling projects, and interview scheduling during busy periods. Within the first six months, the person will audit and standardize interview plans, reduce job setup time using templates, automate a manual workflow with AI or integration tooling, improve interviewer capacity and help automate scheduling, and own one or two Talent Operations projects end to end.

Requirements

  • Prior hands-on Ashby experience as an active, day-to-day user, including setting up jobs, postings, feedback forms, and interview plans.
  • Experience in recruiting operations or coordination in a fast-moving team.
  • Strong data hygiene instincts and the ability to address root causes rather than symptoms.
  • Comfort using AI tools to reduce manual work and move faster.
  • Clear written communication, including the ability to explain system changes concisely to hiring managers.
  • Ability to work United States timezone hours.

Nice To Haves

  • Strong analytical and reporting skills, including confidence building reports in Ashby and working with exported spreadsheet data using pivots, lookups, and basic formulas, and the ability to explain what the data shows.
  • Experience scheduling interviews at scale, including complex multi-timezone panels.
  • Project management skills and the ability to run projects end to end with multiple stakeholders.

Responsibilities

  • Serve as the first point of contact for Ashby questions from recruiters, interviewers, and hiring managers, and write documentation to answer recurring questions.
  • Build and customize interview plans, stages, feedback forms, and scorecards, and update them as roles and processes change while maintaining consistent structure for comparable data.
  • Set up approved headcount as accurate, live jobs and postings, including hiring teams, approvals, custom fields, job boards, and postings across locations; maintain job accuracy through closure and archiving.
  • Own ATS data hygiene, including stage mapping, source attribution, rejection and archive reasons, department and team structure, and stale applications, and identify problems before they affect reports.
  • Support Talent Operations process changes, tooling rollouts, and projects that help the function scale.
  • Provide interview scheduling support during busy periods or until agentic scheduling is rolled out.
  • Audit and standardize interview plans across the company so pipeline data is comparable.
  • Create templates for common role types to reduce job setup time.
  • Automate a manual workflow using AI or integration tooling.
  • Improve interviewer capacity and assist with scheduling automation.
  • Own one or two Talent Operations projects end to end.

Benefits

  • Annual discretionary professional development stipend.
  • Annual discretionary stipend to meet up with colleagues.
  • Annual company offsite.
  • Monthly co-working stipend for employees not located near a main hub.
