About The Position

The Talent Assistant plays a vital role in supporting Joybound’s Talent Team initiatives. This position serves as an administrative partner in supporting essential HR functions including HRIS optimization, talent acquisition, employee onboarding, benefits administration, training coordination, and general HR operations.

Requirements

  • BA in business administration, human resources, or other related field and one year of relevant experience, or equivalent experience may take the place of education.
  • Able to prioritize in a fast-paced environment, work independently and within a team environment, remain current in technology, and be extremely well-organized and flexible.
  • Customer service is an essential aspect of this position.
  • Ability to communicate with the public, volunteers and co-workers in a pleasant, courteous and tactful manner always.
  • Extraordinary personal and professional integrity, judgment, discretion, and confidentiality on all matters.
  • Must have strong oral and written communication skills and respond to requests in a timely and professional manner.
  • Experience to demonstrate a high level of attention to detail and organizational skills with the ability to coordinate a large amount of data from different sources accurately while meeting required deadlines.
  • Ability to support and work well with a diverse staff and community.
  • Ability to track, provide, and interpret staff data, such as turnover rates and reasons, training participation, demographic data, promotions, etc.
  • Able to thrive and contribute to a fast-moving and evolving culture.
  • Ability to work as a team and independently with general supervision and direction.
  • Demonstrated success working with HRIS Systems (Paycom preferred) and reporting capabilities, Microsoft Office suite, including Outlook, Excel, and PowerPoint, and Zoom.
  • Affection for animals, concern for their welfare and a willingness to accommodate animals in the workplace.
  • Pre-employment background check required.
  • Tetanus and rabies inoculations are required or must be waived.

Responsibilities

  • Interact and communicate with colleagues, volunteers, and the public in a manner that advances a culture of positivity, professionalism, trust, transparency, empathy, and excellence at Joybound.
  • Resolve employee questions and concerns in a timely, respectful, and transparent manner.
  • Support the onboarding process, preparing name badges, completion of new hire documents, HRIS entry, and supporting weekly Joining Joybound orientation meetings.
  • Facilitate the offboarding process for departing employees ensuring final documentation and pay meets required deadlines and compliance.
  • Provide data and reports, as needed.
  • Maintain job descriptions (i.e., ensure unified format and necessary revisions for new employees, reclassified and reassigned employees, etc.).
  • Maintain all employee files while adhering to record retention requirements.
  • Update and maintain org charts.
  • Document processes and develop standard operating procedures (SOP).
  • Respond to all employment verification phone calls, emails, and/or hard copy mail requests.
  • Always treat people and animals with respect, contribute to effective teamwork, promote staff cooperation, and foster public relations beneficial to Joybound.
  • Maintain the confidentiality of all information.
  • Comply with all Federal, State and local safety regulations and laws, as well as Joybound policies and guidelines.
  • Follow established procedures governing safe work practices; and perform duties in a manner that assures the safety of oneself and others.
  • Promote teamwork, communication, and cooperation with all other departments.
  • Perform other duties as needed.
  • Support enrollment in employee benefits including but not limited to medical, dental, vision, life, FSA, and 403(b).
  • Support Affordable Care Act (ACA) compliance and reporting.
  • Support administration of Worker’s Compensation program.
  • Perform other duties as needed.
  • Responsible for supporting the recruitment process by performing a variety of administrative tasks that facilitate the smooth coordination of the hiring process.
  • Post job openings on various job boards, company website, and social media platforms.
  • Conduct background checks for all staff positions, Pet Hug Pack volunteers, and other departments as needed.
  • Prepares offer letters, routes for appropriate approvals, and ensures applicant signs.
  • Monitors and manages job postings to ensure accuracy and visibility.
  • Maintains and updates the applicant tracking system (ATS) with candidate information and recruitment statuses.
  • Perform other duties as needed.
  • Maintain employee training records and follow-up on enrollment and completion.
  • Support in the coordination and scheduling of training sessions.
  • Process required annual Harassment Prevention trainings and ensures completion.
  • Perform other duties as needed.
