About The Position

Shawarma Guys is seeking an organized, energetic, and highly dependable Restaurant Recruiter & HR/Administrative Coordinator to support recruiting, onboarding, and day-to-day administrative needs for our growing restaurant group. This is a 100% on-site position working approximately 20–30 hours per week. The primary focus of this role will be maintaining a strong pipeline of qualified candidates for our restaurant locations, coordinating interviews, assisting with new-hire onboarding, maintaining accurate employee and candidate records, and providing general administrative support to Human Resources and company leadership. The ideal candidate is comfortable speaking with candidates throughout the day, highly organized, strong with follow-up, and capable of balancing recruiting responsibilities with administrative tasks.

Nice To Haves

  • Previous recruiting, HR, administrative, restaurant, hospitality, or staffing experience.
  • Experience with high-volume hourly recruiting.
  • Experience using an Applicant Tracking System (ATS).
  • Experience with Recruitee or similar recruiting software.
  • Experience with Indeed or other recruiting platforms.
  • Previous onboarding or new-hire administration experience.
  • Restaurant or hospitality industry experience.
  • Bilingual English/Spanish is highly desirable.

Responsibilities

  • Review incoming applications and resumes daily.
  • Maintain an active pipeline of candidates for all restaurant locations.
  • Recruit for Cashiers, Line Cooks, Prep Cooks, Shift Leads, Managers, Kitchen Leadership, and other restaurant positions.
  • Source candidates through job boards, our Applicant Tracking System (ATS), referrals, and other recruiting channels.
  • Conduct initial candidate phone screenings.
  • Review candidate availability and determine whether it matches restaurant staffing needs.
  • Coordinate candidate assessments when required.
  • Schedule interviews with restaurant managers and company leadership.
  • Confirm interviews and follow up with candidates.
  • Track interview attendance, cancellations, and no-shows.
  • Collect feedback from hiring managers following interviews.
  • Maintain communication with qualified candidates throughout the hiring process.
  • Maintain candidate pipelines for positions with frequent hiring needs.
  • Contact approved candidates regarding next steps.
  • Prepare and send onboarding instructions.
  • Assist new hires with completing required onboarding documentation.
  • Follow up on incomplete onboarding paperwork.
  • Confirm start dates and training schedules.
  • Ensure new-hire information is accurately entered into applicable company systems.
  • Coordinate with restaurant management regarding upcoming new hires.
  • Maintain organized new-hire documentation.
  • Track onboarding progress.
  • Help ensure employees are prepared for their first scheduled training shift.
  • Follow up with new hires when required documentation or information is missing.
  • Data entry and record maintenance.
  • Organize digital and physical employee records.
  • Update spreadsheets, trackers, and internal systems.
  • Prepare basic reports.
  • Scan, upload, file, and organize documents.
  • Assist with employee documentation.
  • Maintain recruiting and onboarding records.
  • Follow up with employees or managers regarding missing documentation.
  • Prepare forms and administrative materials.
  • Assist with scheduling and coordination.
  • Answer basic employee questions and direct more complex HR matters to the appropriate manager.
  • Support HR with miscellaneous administrative projects as assigned.
  • Maintain accurate candidate stages and statuses within the ATS.
  • Document candidate communications.
  • Record interview results and manager feedback.
  • Close candidates who are no longer under consideration.
  • Maintain talent pools for future hiring.
  • Monitor candidates who require follow-up.
  • Maintain accurate recruiting reports.
  • Ensure candidates do not remain unnecessarily stalled within the recruiting process.
  • Communicate with restaurant management and HR regarding current staffing shortages, open positions, employee availability needs, upcoming vacancies, priority positions, new-hire start dates, training schedules, and candidates currently moving through the hiring process.
  • Understand which locations and positions require immediate attention and prioritize recruiting efforts accordingly.
