The Trade Desk•New York, NY
•$77,600 - $142,200

About The Position

The Trade Desk is hiring an individual contributor to run the day-to-day operations of its Recruiting Operations Projects & Programs pillar. Based in New York, the role provides timezone coverage for EMEA and APAC teams and has no direct reports. It is a tactical, hands-on position focused on keeping recruiting operations responsive and reliable while enabling process and program improvements to progress without operational delays. The position owns the TA Operations request intake queue, including triage, routing, response standards, status visibility, and reporting on queue trends. It provides first- and second-level support for Greenhouse and adjacent tools, handles routine configuration within established standards, and escalates issues requiring technical ownership. The role also develops and maintains a trusted knowledge base, supports project delivery, and creates communications and training that help teams adopt changes. It protects data integrity and produces recurring operational reports for TA Operations leadership.

Requirements

  • At least 4 years of experience in Recruiting Operations, HR Operations, People Technology, technical support, or project coordination supporting a Talent or HR function.
  • Hands-on experience administering or configuring an applicant tracking system (ATS).
  • Experience owning a request queue, ticket backlog, or service desk, including triage, prioritization, and backlog management.
  • Demonstrated ability to document complex or undocumented processes in a clear, maintainable form.
  • Proficiency with project and collaboration tools such as Smartsheet, Jira, Confluence, or SharePoint, including building forms, trackers, and workflows.
  • Comfort working with data, building reports and dashboards, spotting anomalies, and investigating why figures may be incorrect.
  • Strong written communication skills for asynchronous, global collaboration.
  • Highly organized and self-sufficient, able to manage and close many concurrent tasks without dropping follow-ups.
  • Comfort with ambiguity and a service-oriented approach to supporting recruiters.

Nice To Haves

  • Greenhouse ATS experience is strongly preferred; experience with Workday Recruiting, SmartRecruiters, Lever, iCIMS, or Ashby is also considered.
  • Experience supporting a multi-region or globally distributed recruiting team across time zones.
  • Experience with a ticketing or service-management platform such as Jira Service Management, ServiceNow, Zendesk, or similar.
  • Experience building automations, including workflow rules, forms, or integrations between tools.
  • Exposure to hiring compliance requirements such as GDPR, CCPA, pay transparency, or OFCCP and their implications for system configuration.
  • Experience in a high-growth, publicly traded, or matrixed global environment.
  • Exposure to AI-assisted recruiting tools.

Responsibilities

  • Own the TA Operations request queue: triage, categorize, and route requests; acknowledge submissions; maintain clear ownership and status through resolution; and meet response expectations.
  • Identify risks to response and resolution standards and flag them early when request volume or complexity creates risk.
  • Improve intake forms and routing logic so requests include the information needed for action.
  • Track queue volume, request mix, resolution time, and recurring pain points, and surface patterns for process fixes or roadmap items.
  • Provide first- and second-level support for Greenhouse and adjacent recruiting tools, diagnosing root causes and resolving issues where appropriate.
  • Make routine system configuration changes, including job and requisition templates, interview plans, scorecards, approval routing, user permissions, custom fields, and notifications, within established standards and change-management guardrails.
  • Escalate integrations, data model changes, permissions architecture, vendor issues, and code-dependent work to Technology & Innovation with clear, reproducible documentation.
  • Provide practical handoffs and documentation for a globally distributed recruiting team, enabling EMEA and APAC colleagues to self-serve outside New York working hours.
  • Develop an easy-to-navigate, dynamic, and interactive knowledge-management infrastructure that users can trust and consult before asking for help.
  • Build and maintain a knowledge base of SOPs, process maps, runbooks, FAQs, and self-service content; document actual processes, including exceptions and workarounds.
  • Maintain project trackers, timelines, action logs, and RAID items; schedule and prepare working sessions; and follow up on open items.
  • Own discrete program workstreams through delivery, including testing, cutover support, and post-launch hypercare.
  • Provide clear, honest asynchronous status updates that communicate progress and blockers.
  • Develop communications, training materials, release notes, and office hours to support adoption of process and system changes.
  • Measure adoption, create accountability models, hold stakeholders accountable, and use quantitative and qualitative feedback to identify blockers and improvements.
  • Run audits and enforce data-hygiene standards in Greenhouse and adjacent systems to support trustworthy reporting and AI output.
  • Build recurring operational reports for TA Operations leadership on queue health, request mix, process compliance, and data quality.
