About The Position

The Talent Acquisition Manager is a foundational, individual-contributor role responsible for building and standardizing Xterra Health's talent acquisition function ahead of expected growth. This role owns the systems, documentation, and process discipline that let TA scale, our BambooHR ATS, the job description library, interview guides, approval workflows, and the metrics that demonstrate what an internal TA function is worth. The role also screens 1099 clinical provider candidates sourced through our provider network partner, owns our staffing agency and contingency search relationships, builds out a company-wide employee referral program, and partners closely with the HR Director on standardizing new hire orientation and onboarding. Recruiting is this role's primary focus and where performance is measured. HR is a lean, growing department, and this hire will be our second team member, so there's genuine room to broaden into HR generalist experience if you're interested. This is an individual contributor role today, with a clear path to building and leading a team as hiring volume grows.

Requirements

  • Significant experience in talent acquisition, recruiting operations, or a related HR function — agency, RPO, or in-house background all considered
  • Hands-on experience with an ATS/HRIS platform. BambooHR highly preferred
  • Demonstrated ability to build repeatable process and documentation from scratch, not just execute an existing playbook
  • Comfort operating as an individual contributor now, with the judgment and range to lead a team later
  • Strong cross-functional collaboration skills, particularly with Marketing and Operations

Nice To Haves

  • Experience managing contract or agency recruiting relationships, and/or building formal employee referral programs, is a strong plus
  • Interest in broadening into HR generalist work over time (employee relations, compliance, HRIS administration) is a plus, not a requirement

Responsibilities

  • Own the employer-brand and candidate-facing layer of our HRIS/ATS Talent Acquisition module (careers page presentation, application experience, branding)
  • Build and maintain the job description library in a consistent, branded format
  • Design and implement structured interview guides by role family
  • Establish clear approval flows for requisitions, offers, and process exceptions
  • Develop and maintain recruiting SOPs covering the full requisition-to-hire lifecycle
  • Support the HR Director in organizing and maintaining pay bands, ensuring consistency across roles and departments
  • Flag pay equity or leveling concerns that surface during the hiring process
  • Partner with the HR Director to standardize new hire orientation and onboarding across departments
  • Ensure a consistent, well-documented handoff from offer acceptance through first-week onboarding
  • Support the early-stage career site build, then own its ongoing expansion, adding a talent community, video content, and employee testimonials over time
  • Work cross-functionally with Marketing, Operations, and Administration to keep the career site and employer brand aligned with the broader company story
  • Screen and vet each 1099 clinical provider candidate sourced through our network partner to confirm fit against Xterra's standards before advancing them
  • Own a clean, well-documented screening process (final hire decisions on 1099 providers sit with Operations)
  • Own the day-to-day relationship with W-2 staffing agency partners
  • Turn agency searches on and off as business demand requires, coordinating with hiring managers on timing and volume
  • Manage any additional contingency search engagements, owning terms, performance, and day-to-day coordination
  • Own and manage the internal employee referral process end to end
  • Design and launch a formal, company-wide employee referral program, including incentive structure, communication/promotion plan, and tracking
  • Report on referral program performance as part of the broader TA metrics function
  • Establish performance metrics (time-to-fill, cost-per-hire, source effectiveness, hiring manager satisfaction) that demonstrate the value of an internal TA function
  • Report regularly on pipeline health, hiring velocity, and where the function needs investment or adjustment
