The Talent Acquisition Coordinator plays a critical role in delivering an exceptional hiring experience for both candidates and hiring teams. As a trusted partner to recruiters and hiring managers, this role ensures that the interview process is seamless, efficient, and reflective of QXO's commitment to operational excellence and candidate care. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment, balancing multiple priorities while maintaining a strong focus on quality and continuous improvement.

Requirements

  • Bachelor's degree
  • 1-2 years of experience in a high-volume or fast-paced environment.
  • Strong organizational skills with the ability to balance competing priorities.
  • Excellent written and verbal communication skills, with the ability to confidently engage with candidates, hiring managers, and senior leaders.
  • Demonstrated attention to detail and problem-solving ability.
  • Sound judgment and discretion when managing sensitive or confidential information.
  • A proactive, solutions-focused mindset with the ability to anticipate needs and adapt quickly in dynamic situations.

Responsibilities

  • Support the operational backbone of the Talent Acquisition (TA) function by ensuring recruiting processes, systems, and documentation are consistent, efficient, and compliant.
  • Partner with recruiters and hiring managers to streamline workflows from requisition creation through offer approval and onboarding.
  • Maintain and optimize data integrity in the Applicant Tracking System (ATS), ensuring accurate records, reporting, and dashboards that drive insights and business decisions.
  • Generate and analyze recruiting metrics and reports to identify trends, measure performance, and recommend process improvements.
  • Manage offer letter creation, background checks, and onboarding coordination in partnership with HR Operations to ensure a seamless transition from candidate to employee.
  • Collaborate with cross-functional teams (HR, Finance, and IT) to support system integrations, process alignment, and continuous improvement initiatives.
  • Develop and maintain recruiting process documentation, templates, and SOPs to ensure scalability and operational excellence.
  • Identify opportunities for automation and efficiency within TA processes, proactively recommending tools or workflow enhancements.
  • Support interview coordination and scheduling as needed, ensuring a consistent, high-quality candidate experience across all stages of the hiring process.
